SUMMARY 

The Lease Administration AP Support is responsible for supporting the Leasing Administration Manager to ensure effective lease management of a portfolio of 300+ leasehold veterinary clinics. The role supports the Property team by ensuring accurate and timely completion of administration processes, primarily managing the Rent invoices email inbox with prompt actioning of emails, liaising with Finance to ensure payments are accurate and paid on time and proactively responding and resolving any issues raised by landlords to ensure excellence in communication.

RESPONSIBILITIES 

Co-ordinate and manage the Rent Invoice inbox, responding to emails too follow up supporting documentation for Rent and Variable Outings in a timely manner. Review rent invoices received to confirm amount matches the prior monthly sheet. If it differs, flag for the Lease Admin Manager to review. It if matches, to rename and file into the property drive Add invoices payable to the weekly variable outgoings spreadsheet for Lease Admin Manager to review and upon approval, arrange payment via Finance/AP process. Payment filingRename and file all Variable Outgoings invoices prior to batch review by the Lease Admin Manager to approve each week. Copy paid invoices into the respective clinic’s Property folder on the property drive. Support the management of rental increases & any payment reconciliations (as required), obtaining actual payment history from AP & reconciling differences. Work collaboratively with all internal stakeholders to resolve landlord queries professionally, proactively and in a timely manner. Document control and tenant document filing in the property network drive Other duties as assigned by Property Team to support the team

REQUIREMENTS 

Candidate must possess at least a Bachelor’s/College Degree in Accountancy or any Business related course,  Minimum of 3 years experience in Leasing Industry Strong administration experience and computer literacy with experience using Microsoft applications (Word, Excel, PowerPoint and Outlook) Confident to collaborate and communicate effectively with all internal and external stakeholders’ Excellent organizational skills with attention to detail Ability to work unsupervised and priorities tasks Understanding of financial reconciliation and analysis Basic understanding to read and interpret outgoings lease clause Must be willing to work in Bonifacio Global City, Taguig City, in an early morning shift
