Purpose of Function 

The Customer Service and Operations Assistant will play a crucial role in supporting the efficient and effective function of the Customer Service and Operations Team. The role involves a combination of administrative tasks, coordination, and communication with internal and external customers to ensure the smooth flow of goods and services, from order to cash cycle. The role require strong organizational and planning skills, attention to detail, and the ability to work effectively and collaboratively with the different teams within the organization.

 

Tasks and Responsibilities Key Responsibilities: 

1. Order Management: 

➢ Receive, review, and process customer orders according to standards and procedures. 

➢ Prepare proforma invoices for customers requiring advance payment and letter for credits before delivery. 

➢ Coordinate with the production team to ensure timely fulfillment of orders. ➢ Maintain accurate records of order details, shipment information, and inventory levels. 

2. Logistics Coordination: 

➢ Collaborate with transportation providers to schedule and track shipments. ➢ Support in monitoring and optimizing transportation routes for cost efficiency. 

➢ Support in addressing and resolving any issues related to logistics and transportation. 

3. Warehousing and Inventory Management Support: 

➢ Keep track of inventory levels and ensure stock availability. 

➢ Support in regular inventory audits and update inventory records. 

➢ Support and collaborate with suppliers to manage stock replenishment.

4. Documentation and Reporting Support: 

➢ Support in maintaining accurate documentation for shipments, including but not limited to invoices, packing lists, and shipping documents. 

➢ Support in generating reports on key performance indicators, such as order fulfillment and inventory turnover. 

5. Coordination Support: 

➢ Coordinate and liaise with internal teams (e.g. production, sales, and customer service) to ensure alignment, effective communication and collaboration. 

➢ Support in communicating with external partners, such as suppliers and logistics providers, to address any issues and ensure smooth operations. 

6. Compliance Support: 

➢ Support in the compliance of company policies and relevant regulations and standards in logistics and operations.

 

Position Requirements 

College graduate or college level with comparable experience Related Experience 1 to 2 years of relevant work experience Experience with Operations & Logistics 

Skills, Special Competencies, or Certifications 

• Proven experience in a similar role, preferably in operations or logistics is a plus. 

• Computer Literate and Proficient in using MS office tools 

• Experience in using SAP is a plus. 

• Ability to multitask. 

• Good English communication skills. 

• Good Interpersonal skills. 

• Ability to learn and adapt. 

• Attention to detail and accuracy in handling data. 

• Ability to work well under pressure and meet deadlines
