Compliance & Administration Officer for Anytime Fitness

This role requires on-site reporting at the office in Ayala Malls Feliz. Qualified candidates with at least 4 years of accounting, sales reporting, and administration experience are encouraged to apply.

 

RESPONSIBILITIES

A. Accounting

Implement processes, control measures and process improvement on the following areas: Sales Reporting and documentation, Compliance to Membr usage in scheduling membership payments, fines, and other charges, Company bank account reconciliation (bank transfer, gcash, credit, and debit cards), Cash flow and expenditures, including preparation and disbursement of payments and revolving fund/petty cash, and Payroll and benefits administrationSubmit documents to external Accountant needed to generate financial regulatory reports.Regularly conduct audit to ensure compliance of the Clubs to financial and accounting standards.Assist in budget and financial planning, monitoring, and analysis; prepares related reports as needed and requested by the Managing Director.Ensure the adherence of Club Administration (CA) in the timely updating all Clubs’ books of accounts.Implement processes and policies in accounting and administration and monitor adherence of CA. Ensure that these processes are up-to-date and relevant to current business needs.Ensure that the business is updated and compliant to new regulatory requirements of government agencies and Anytime Fitness franchise agreement.

 

B. Administration

Ensure timely preparation, registration, and submission of regulatory reports, such as but not limited to the following: business permits, SEC, BIR reports.Ensure prompt preparation and payment of remittances to SSS, PHIC and HDMF contributions and loans. Make sure that payments are done on time to avoid penalties.Monitor the Company’s compliance to mandatory trainings– eg VITALS, First Aid, OSH, etc – and coordinate with the Club Administration on scheduling and attendance of new hires to such trainings.Review the submitted payroll and commission files from each Club and ensure that these are accurate and complete prior to processing for payout.Ensure that company assets, and office and gym supplies (including Sales Invoice, PT Agreement Forms, keyfob, etc.) are properly monitored, tagged, and documents are kept in a secure location.Coordinate with CA to ensure that gym equipment, tools, fixtures, and fittings in all Clubs are operational, safe for use, and within the standards of the Company and Anytime Fitness.Develop and implement an accreditation process for purchase of supplies, tools, and materials.Manage the lease contracts of all Clubs, ensuring that contract details are correct, and that payments are made promptly and recorded accurately.Make sure that changes to policies and processes, as well as compliance to management instructions are enforced in the Clubs. Coordinate accordingly with the Club Manager for proper implementation.Lead in the establishment of the Occupational, Safety, and Health (OSH) program for the Company.Manage the safekeeping of business and financial documents of the Company, including employee records and 201 files. Coordinate with Club Administration to ensure that records and documents in the Clubs are updated, organized, and are kept in a secure place.
