JOB SUMMARY

The Admin/ Purchasing Asst. provide a smooth and organized transaction with the suppliers. The duties require confidentiality, accuracy and honest reporting. It performs administrative and clerical support for the acquisition of materials and services. The regular working day is spent most of the time in the office however, sometimes required to go out, if needed.

JOB DESCRIPTION

· * To receive request from assigned site/ department,

· * To prepare Purchase Order

To conduct research / source out/ canvass from potential suppliersTo compare and evaluate offers from suppliersTo negotiate terms of agreement and pricingTo prepare Purchase Order/s and enter details (e.g. vendors, quantities, prices) into internal databaseTo follow up with the suppliers, as needed, to confirm or to change ordersTo track orders and ensure timely deliveryTo review quality of purchased materials and/or productsTo maintain updated records of purchases, delivery information, and invoices

· To record and compile Suppliers List and update contact and bank information of supplier

To coordinate with the Document Controller, for the expected deliveries of the purchased items and ensure it will arrive in good condition.To facilitate the whole Purchasing process within the set turn-around timeTo prepare and submit reports of purchases and expenses among others

· Other Tasks Related to the Position

 

QUALIFICATION:

Graduate of Bachelor’s Degree in Business Administration, Marketing, and other related coursesAt least 1- year of experienced in purchasing and administrative tasks Working knowledge in QUICKBOOKS is an advantageProficient in MS OfficeWork Experience in a Construction Company is a plusAbility to be flexible, making decision, exercise sound judgement Can work under pressureRequires continual self-review and planning priorities and deadlinesHigh Analytical skills, trustworthy and dependableStrong Negotiation skillsKnowledge of a specific Procurement System E-ProcurementKnowledge of Office Management skills and ability to multi- task and prioritize work.Good Written and Verbal Communication skillsCan work immediately
