Job Objective/s 

To maintain proper document control and management over accounting documents.

 

Specific Duties & Responsibilities 

1. Operational Excellence 

Receives physical and virtual accounting documents based on transmittal list provided by Accountants Checks completeness and updates monitoring of files accordingly Monitors inventory of documents on-site and verify that documents are managed correctly and are in good storage condition prior to archiving Updates master list of turned-over documents and ensures proper boxing of physical documents and indexing of virtual copies in Documents Management Systems Prepares turnover list for approval of Document Control Head prior to documents archivingOther task that may be assigned from time-to-time and assist special projects if necessary.

2. Service Excellence, Compliance and Governance 

Assists specifically Controllership team and other departments that may require access to archived documents Collaborates with Corplan to maintain storage of electronic and physical files and/or records. Manages record retention and destruction procedure in accordance with company’s policies and government reportorial and audit requirements. Performs quality assurance audit on all document files and library on a regular basis. Provides assistance to Document Control Head in maintaining Controllership Document Management Systems. Ensures the confidentiality of data and files. 

3. Reporting 

Ensures regular updating of various files monitoring. Sends regular update on the status of submission of documents to counterparts. 

4. Process re-engineering 

Maintains disaster file storage of important documents, including submittal and retrieval of documents, thru collaboration with Corplan.

Bachelor’s degree, preferably Business-related course > 2 years progressively responsible experience from major companiesExperience using SAP, NetSuite, OracleGood communication skills (both verbal and written), organization, and prioritization Attention to details and flexible
