Role Purpose:

The position provides vital administrative and operational support to the transportation team, ensuring efficient execution of shipping, delivery, and documentation processes. The role focuses on maintaining organized logistics records, accurate reporting, and effective coordination with internal and external stakeholders to support the department's overall efficiency and compliance.

Key Responsibilities:

1. General Duties

  • Adhere to company SOPs for document submissions and processing.
  • Coordinate with cross-functional teams on transport-related matters.
  • Support the Transport Supervisor in report generation and updates.
  • Participate in required company training programs.
  • Maintain effective communication with other departments and affiliates.

2. BMS Monitoring and Reporting

  • Update and monitor the Booking Management System (BMS).
  • Compile RFP (Request for Proposal) transmittals.
  • Prepare weekly shipping activity reports and requisition office supplies.

3. Documentation & Administrative Tasks

  • Ensure accuracy and completeness of delivery documents (PODs).
  • Monitor delivery receipts and OS&D (Over, Short, and Damaged items).
  • Safeguard confidential transport documents.
  • Maintain organized filing systems (physical and electronic).

4. Billing Preparation & Fund Monitoring

  • Prepare and verify billing documents and RFPs.
  • Coordinate with Finance for payment processing and issue resolution.
  • Manage disbursement and monitoring of transport funds and allowances.
  • Prepare weekly liquidations based on trip reports.

5. Product Non-Conformance Report (PNCR) & Charging Memos

  • Track, compile, and close PNCR and Charging Memo reports.
  • Prepare weekly summaries of PNCR Tracking Charges.

6. Fuel Pump Average (FPA)

  • Generate weekly and monthly reports on fuel consumption.

7. Truck Utilization (In-House & 3PL)

  • Prepare weekly and monthly utilization reports for in-house and third-party logistics trucks.

8. Other Duties

  • Perform additional tasks as needed to support transportation operations.

Qualifications:

Education & Experience:

  • Bachelor's degree or related course (fresh graduates welcome).

Preferred Qualifications:

  • Knowledge of transport operations and reporting requirements.
  • Proficiency in MS Office (Excel, PowerPoint, Word).
  • Strong communication, organizational, and time management skills.
  • High ethical standards and professionalism.
  • Excellent interpersonal and presentation abilities.

Job Type: Full-time

Pay: Php18, Php20,000.00 per month
