About the Role
Vivant is seeking a detail-oriented and highly organized Project Coordinator to support our U.S.-based telecom operations. This role is critical to ensuring that projects move smoothly from sales handoff through installation and billing. You will coordinate across Sales, Support, Installation, and Accounting teams to track tasks, maintain documentation, and ensure deadlines are met.
100% IN-OFFICE POSITION WITH NO WFH
Key Responsibilities:
Project Coordination
- Serve as the main coordinator for assigned telecom projects.
- Attend sales handoff meetings and document requirements in Utiliko (our business management platform).
- Ensure project details are relayed clearly to internal teams for ordering parts, scheduling installations, and configuring services.
- Track project milestones, timelines, and deliverables to keep everything on schedule.
Installation Management
- Coordinate with vendors and internal teams for number porting, internet orders, and service installations.
- Keep accurate records of installation schedules, updates, and status.
- Verify that old services are disconnected once new services are active.
- Ensure accounting is notified for billing setup on completed projects.
Post-Installation Support
- Confirm service disconnections with previous carriers after projects are installed.
- Place and manage orders for new internet/telecom services as needed.
- Set up clients in billing systems and escalate any discrepancies to accounting.
- Create and route support tickets in Utiliko for client issues, ensuring proper internal follow-up.
Documentation & Process Improvement
- Maintain up-to-date project documentation and notes in Utiliko.
- Create new workflows, checklists, and training documentation to improve efficiency.
- Provide feedback on process gaps and suggest improvements.
Requirements
- Bachelor's degree or equivalent work experience.
- At least 2 years of project coordination or telecom operations experience.
- Excellent English communication skills (written and verbal).
- Strong organizational and time management skills.
- Problem-solving and critical thinking ability.
- Willingness to work U.S. business hours.
