Purchasing Assistant (Restaurant / Commissary)

  • Education

  • Bachelor's degree in Business Administration, Supply Chain, Accounting, Hospitality, or Food Technology preferred

  • Relevant work experience may substitute for formal education

  • Experience

  • 1–3 years experience in purchasing, procurement, inventory, or commissary operations

  • Experience in restaurant, commissary, food production, or FMCG environment is an advantage

  • Familiarity with multi-branch or chain operations preferred

  • Purchasing & Procurement Skills

  • Knowledge of end-to-end purchasing process (PR, PO, receiving, invoicing)

  • Able to assist in supplier coordination, price canvassing, and quotation comparison

  • Understands approved supplier lists, item specifications, and costing standards

  • Experience with purchase orders, delivery scheduling, and follow-ups

  • Can coordinate with suppliers regarding shortages, damages, returns, and replacements

  • Inventory & Cost Control

  • Basic understanding of inventory management, FIFO/FEFO, and stock reconciliation

  • Able to monitor usage trends, shortages, over-ordering, and variances

  • Cost-conscious; supports wastage reduction and cost-saving initiatives

  • Coordination & Documentation

  • Prepares and maintains PRs, POs, receiving reports, supplier files, and inventory records

  • Coordinates closely with commissary, kitchen, warehouse, and accounting teams

  • Ensures complete documentation for audit and compliance

  • Systems & Computer Skills

  • Proficient in Excel / Google Sheets

  • Familiar with inventory, accounting, or POS-linked systems is an advantage

  • Personal Traits

  • Highly detail-oriented and organized

  • Strong follow-through and time management

  • Honest, reliable, and discreet with pricing and supplier information

  • Able to work in a fast-paced restaurant environment

  • Work Requirements

  • Willing to work early shifts, weekends, and holidays if needed

  • Physically able to assist with receiving and checking deliveries
