Crewing Assistant supports the recruitment, placement, training, and management of crew members (officers, ratings, and hotel staff) on vessels. This role involves coordinating travel arrangements for crew sign-on and sign-off, as well as managing payroll processes. Additionally, the Crewing Assistant ensures that in-house training is provided to crew members to maintain compliance with the company's (HSEQ) standards. The position also requires adherence to industry regulations, including STCW, PMMRR, WHO, IMO, and MLC, among other relevant maritime standards.

DUTIES AND RESPONSIBILITIES

A. Cadet Maters

  • Administer Exam for cadet applicants
  • Evaluate cadet training certificates and other requirements
  • Monitor pooling cadets for office duty
  • Responsible for cadet medical referral
  • Conduct company orientation for cadet
  • Introduce newly hired cadet to all employees and familiarize all departments
  • Make a cadet agreement, company ID and insurance enrollment for office duty.
  • Response to all employees request for cadet assistance also for travelling cadets going to/from vessel.
  • Monitor office cadet schedule for his turn to board the vessel
  • Monitor onboard cadet for their rotation, line-up and vessel duration
  • Advise vessel regarding cadet movement
  • Prepare contract, PPE, embarkation and disembarkation for dispatch
  • Dispatch cadet to board the vessel
  • Monitors and maintains cadets 201 file.
  • Prepare, Release and Upload Cadet SEA service

B. Crewing Matters

  • Endorse crew for training
  • Dispatch crew for crew change
  • Endorse crew for medical referral
  • Perform all other Crewing matters
  • Prepare slides presentation for PDOS
  • Performs ship visit to verify crew welfare
  • Evaluate crew documents for qualifications
  • Prepare, Release and Upload Crew SEA service
  • Monitors expiring contracts to plan for crew change
  • Facilitate physical arrangement and snacks needed for PDOS
  • Monitors vessel medicine chest certificate and medicine supply
  • Recruit Officers, Crew, Cadets & hotel staff for on board deployment
  • Schedule crew for interview with Crewing Manager and/or Marine and Technical
  • Conduct crew orientation regarding company profile, payroll and benefits on PDOS
  • Monitor Officers, Crew, Cadets & Hotel Staff while on board and address concerns
  • Conduct interview for crewing applicants especially in the absence of Crewing Officer
  • Advise vessel for crew movement and request to send performance appraisal of off-signers
  • Prepares employment contract, PPE, embarkation, disembarkation, insurance form for crew movement

C. Liaison

  • Liaise with other Government agencies in relation to manning functions

D. Performs other duties that may be assigned by the Crewing Manager or other subsidiary etc.

JOB SPECIFICATIONS

  • Bachelors Degree in Psychology/Human Resource Management or any related field
  • At least 1 year work/related experience
  • Must have strong organizational skills and attention to details
  • Computer literate
  • Excellent Interpersonal skills
  • With excellent leadership and supervisory skills
  • Able to communicate effectively in English and Filipino
  • Can work with minimum supervision
