Quick Rundown:
We're looking for a proactive and detail-oriented Customer Care Specialist to support the day-to-day operations of a U.S.-based home healthcare provider. This role is perfect for someone with experience in customer service, scheduling, and virtual assistant supportparticularly in healthcare or service-based businesses. You will play a critical role in ensuring clients receive prompt and compassionate service, caregivers are scheduled appropriately, and internal operations run smoothly.
What You'll Do:
Serve as a primary point of contact for client and caregiver inquiries
Schedule caregivers for patient visits and adjust assignments as needed
Communicate with caregivers, clients, and office staff to confirm availability, resolve issues, and ensure care continuity
Update schedules in real-time using the agency's scheduling software
Follow up on client satisfaction and service delivery concerns
Provide administrative support to the operations team, including data entry, file management, and documentation
Assist with timesheet tracking, attendance monitoring, and shift updates
Ensure compliance with client care plans and scheduling protocols
Manage sensitive information with confidentiality and discretion
Support recruitment and onboarding efforts as needed (e.g., checking references, scheduling interviews)
What We're Looking For:
At least 2 years of experience as a Virtual Assistant, Executive Assistant, or Customer Support Specialist
Prior experience in scheduling, administrative support, or healthcare-related work
Excellent spoken and written English communication skills
Strong organizational skills and attention to detail
Familiarity with tools like Google Workspace, Zoom, Slack, or CRM/Scheduling platforms
Reliable internet connection and ability to work independently during US hours
Flexible with schedule and willingness to work during wee hours when required
Strong customer service mindset with the ability to manage multiple priorities calmly and professionally
Experience working with a U.S.-based home health agency
Familiarity with caregiver scheduling systems
Background in HR, recruitment, or sales support
Basic understanding of HIPAA or data privacy regulations
