Our client is seeking a Senior Project Coordinator to coordinate implementation across multiple new business ventures within a growing portfolio. This is not an entry-level or purely task-driven role — it's designed for an experienced project lead who thrives in ambiguity, builds pragmatic workflows on the fly, and ensures accountability without introducing unnecessary bureaucracy.

You'll enable the executive team to move faster by keeping parallel projects clear, prioritized, and execution-focused. The ideal candidate excels in dynamic, fast-paced environments, proactively resolves blockers, and demonstrates exceptional communication and organizational skills. Experience working in startups, agencies, or multi-brand organizations is highly preferred.

Responsibilities

  • Lead end-to-end delivery for cross-entity infrastructure launches: define milestones, identify risks, and ensure key decisions are executed on time.

  • Maintain and evolve lightweight project boards (ClickUp / Asana / Linear), keeping them actionable and efficient.

  • Manage project timelines, dependencies, and deliverables with clear accountability across all stakeholders.

  • Bridge internal leads and external vendors — resolve blockers, escalate issues decisively, and negotiate realistic deadlines.

  • Produce concise leadership updates (status, risks, blockers, next actions) and convert meeting discussions into clear, trackable tasks.

  • Support daily follow-ups with team leads, vendors, and contractors to drive execution and unblock deliverables.

  • Partner with the Administrative VA to simplify and document key operational processes — creating only what's essential for efficiency (onboarding checklists, one-page playbooks, critical SOPs).

Requirements

  • 7+ years of experience in project, program, or product coordination roles within startups, venture studios, or multi-brand environments.

  • Proven ability to manage simultaneous projects with minimal supervision.

  • Comfortable in small teams and environments where you create structure rather than follow it.

  • Excellent written and verbal English communication skills, especially at the executive level.

  • Proficiency in Google Workspace, Zoom, Slack, and project management tools such as ClickUp, Asana, or Linear.

  • Strong decision-making and prioritization skills — capable of making trade-offs to maintain momentum.

  • Experience establishing and maintaining cross-functional operating rhythms (standups, cadences, handoffs).

  • Pragmatic and results-driven — prefers "80% good and shipped" to "100% perfect and stalled."

  • High emotional intelligence (EQ) — able to lead with tact, clarity, and firmness.

  • Process-oriented mindset: documents minimally, automates where possible, and hands off effectively.

Nice-to-Have Skills

  • Familiarity with vendor onboarding, entity formation, or HR platforms such as Rippling.

  • Background in technical or product launches, with an understanding of development timelines and dependencies.

  • Experience building dashboards, OKR/KPI trackers, or concise reporting views.
