Accounts Receivable Specialist

The Accounts Receivable Officer is responsible for managing incoming payments, ensuring accurate invoicing, and maintaining up-to-date records of customer accounts. This role plays a key part in supporting the company's cash flow, reducing aged receivables, and maintaining strong client relationships.

Responsibilities – How will you do this?

Invoicing & Billing

• Generate and issue accurate customer invoices in a timely manner.
• Ensure all billing aligns with contracts, purchase orders, and delivery confirmations.
• Coordinate with sales and operations teams to resolve billing discrepancies.
• Collections & Payment Processing
• Monitor accounts receivable ledger and follow up on overdue accounts.
• Apply incoming payments to customer accounts accurately and promptly.
• Communicate with customers regarding outstanding balances and payment terms.
• Manage and collect Withholding tax items.

Reconciliation & Reporting

• Reconcile customer accounts and resolve discrepancies, and AR GL maintenance
• Prepare aging reports and assist in cash flow forecasting.
• Assist in month-end closing activities and accruals.

Documentation & Compliance

• Maintain accurate records of invoices, receipts, and correspondence.
• Assist with internal and external audits related to receivables.
• Responsibility to issue Official Receipts
• Custodian for customer documents

Customer Service & Relationship Management

• Respond to customer inquiries regarding invoices and payments.
• Build and maintain positive relationships with clients to support timely collections.
• Escalate unresolved issues to management as needed.
• Prepare documentation and recording for credit memos and discounts

To be successful, you'll need

• Bachelor's degree in Accounting, Finance, or related field.
• Minimum of 2 years of experience in accounts receivable or general accounting.
• Proficiency in accounting software and ERP systems (SAP, Oracle, etc) a plus
• Strong attention to detail, organizational, and communication skills.
• Excellent communication and problem-solving abilities.
• Ability to work independently and collaboratively in a fast-paced environment.
