Position Title: Sales Admin
Work Set Up: On-site
Schedule: 4:00 AM - 1:00 PM PHT
Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark Pampanga
Quick Rundown:
The Sales Admin is responsible for processing promotional product orders, managing communications with clients and suppliers, coordinating artwork and project requirements, and ensuring smooth execution of daily operational tasks. The role requires strong attention to detail, excellent communication skills, and the ability to manage multiple projects in a fast-paced environment where daily tasks may vary based on client needs.
What Youll Do:
Order Processing & Project Management
Accurately process new orders and update project details in CRM (Commonsku).
Monitor project progress, follow up with clients, suppliers, and internal teams to ensure timely completion.
Manage quotations and purchase orders; ensure approvals and delivery timelines are met.
Client & Supplier Communication
Serve as the main point of contact via email, phone, and Commonsku.
Clarify order details, gather requirements, and provide timely professional responses.
Workflow & Task Management
Maintain daily task lists based on priorities.
Track project histories, current statuses, and next actionable steps.
Ensure all tasks are completed within deadlines.
Artwork & Mockup Assistance
Coordinate with the Artworker team for color changes, mock-ups, and artwork adjustments.
Ensure artwork aligns with client branding and supplier specifications.
Documentation & Template Management
Utilize templates for quotations, presentations, and client communications.
Maintain organized records of workflows, communications, and project files.
Collaboration & Cross-Team Support
Work closely with PH and onshore teams, client leads/managers, and suppliers.
Seek guidance when the client lead/manager or COO is unavailable.
What Were Looking For:
Experience in order processing, customer service, or administrative coordination preferred.
Familiarity with promotional products or similar industries is an advantage.
Strong organizational, multitasking, and communication skills.
Ability to work independently and adapt to shifting daily priorities.
Proficient in Outlook, MS Teams; Commonsku experience is a plus.
