About the Client
Our client is a market innovator in one-piece, easy-to-install shower pans that come pre-pitched with integrated curbs, entrances, splash walls, and PVC drains. They also offer complementary products such as shelves, benches, niches, and ledges. All products are Ready to Tile, allowing installers to set tiles directly onto the leak-proof surface.
Their mission is to simplify the shower selection and installation process. Their solutions are engineered to streamline residential and institutional shower projects for building professionals and contractors, saving both time and labor while delivering an affordable, high-quality, and customizable shower solution to customers.
About the Role
The Sales Support Specialist ensures seamless execution of the sales process from initial quote to invoicing and collections. This role is pivotal in maintaining operational accuracy, driving customer satisfaction, and enabling the sales team to focus on revenue generation. The specialist will coordinate across internal teams - including engineering, operations, and finance - to ensure orders are processed correctly, delivered on time, and aligned with company standards.
What you'll do
Quote Management & Customer Onboarding
Create, enter, and maintain accurate quotes in QuickBooks.
Set up new customer accounts and ensure all records are complete and up to date.
Prepare comprehensive quote packages and coordinate with the Sales Coordinator for distribution.
Sales Order Processing & Coordination
Convert approved quotes into sales orders within the ERP system, ensuring 100% data accuracy.
Issue timely sales order confirmations and coordinate requirements with engineering and operations teams.
Communicate deposit requests and follow up with customers to ensure prompt payments.
Invoicing & Payment Management
Generate and issue invoices and payment requests through QuickBooks.
Apply payments accurately to respective sales orders and reconcile discrepancies.
Maintain real-time financial records to support reporting and decision-making.
Collections & Compliance Support
Monitor outstanding payments and proactively follow up to minimize delinquencies.
Assist with lien filings and notices to owners to safeguard compliance and company interests.
Collaborate closely with Accounts Receivable to resolve payment discrepancies efficiently.
What You Bring
Experience: 3-4 years in sales support, order processing, or related administrative/operational roles.
Technical Skills: Proficiency in ERP, accounting systems (QuickBooks preferred); advanced Microsoft Office skills, particularly Excel, Outlook, and Word.
Core Competencies:
Exceptional attention to detail with a strong commitment to accuracy in data entry and record-keeping.
Proven ability to multitask and manage competing priorities effectively.
Strong critical thinking skills with the capacity to work independently and make sound decisions.
Excellent written and verbal communication, able to convey information clearly to internal teams and customers.
Collaborative mindset, capable of working seamlessly across sales, engineering, operations, and finance teams.
