- Planning and coordinating policies and procedures of administration and devising ways to streamline processes.
- Monitor the inventory of office supplies with attention to budgetary constraints.
- Assists in preparing the Brand & Marketing Admin CAPEX and OPEX yearly Budgets.
- Coordinates with the Directors and Vice President in the yearly departmental planning.
- Consolidates all financial reports, including marketing plans, Operating Expenses, and Capital Expenditures of all divisions.
- Prepare reports on YTD running expenses as needed.
- Assembling and summarizing the financial status and risk management.
- Lead in procurement activities on B&M's Construction, existing property additions, and alterations.
- Assisting in overseeing all CAPEX requirements of B&M.
- Screens costs and expenses to assist in budget preparation.
- Records and monitors Meal Stubs issued by the department.
- Assists in coordinating with Directors, VP, and Human Resources for any additional headcount requests.
- Assists in conducting orientation for all new Team Members of B&M
- Leads the project management tool monitoring, balancing, and execution in all departments as the central hub for all running projects.
- Handles Petty Cash Revolving Fund of the department, in charge of checking liquidation reports, and prepares replenishment forms.
- Learn to operate new office technologies as they are developed and implemented.
- Maintains the inflow and outflow of the goods and items (food, Office Supplies, etc.), arranges for repair and maintenance of office equipment, orders and dispenses supplies, receives, stores, and maintains inventory of office supplies and equipment, and sends, receives, and sorts mail and other packages.
- Responsible for uploading daily schedules of Team Members and accurately closing all timesheets regularly.
Requirements
- Bachelor's Degree or higher in Financial Management, Marketing, Business Administration/Management, or any related field.
- Minimum of 3 years of Experience in Financial & Budget reporting and budget forecasting.
- Experience in managing multiple priorities, administrative coordination, and logistics.
- Experience in overseeing budgets and expenses.
- High-level proficiency in MS Teams, Microsoft Office 365, and other office software.
- Strong organizational, project management, time management, and problem-solving skills with impeccable multitasking abilities.
- Excellent verbal and written communication skills.
- Forward-thinking and demonstrates confidentiality and strong judgment in all types of situations.
- Solid interpersonal skills and ability to build relationships with stakeholders.
- Attention to detail and accuracy.
