DUTIES AND RESPONSIBILITIES

1. Sourcing quotations from accredited vendors of pharmacy items to ensure availability of stocks in all HMC Pharmacy

  • Creation of PO based on approved PRF
  • Releasing of approved PO
  • update and check Actimed's SharePoint monitoring
  • Booking of items in EZRX+ (for Zuellig and Metro Drug) based on approved PO
  • Requisition of item maintenance (additional items) in SAP (as per request by Pharma Team)
  • Inquiry of vaccine stocks availability from vendors (as per requirement)

2. Updating prices of items per supplier in the system

3. Cancellation of undelivered items per PO for diversion to another supplier

4. Creation of manual PO in the system

5. Creation of comparative sheets of quotations

6. Sending updated LTO of clinic branches to suppliers

7. Printing and routing documents that a new supplier requires prior delivering items (CIS, Service Agreement, etc.)

WEEKLY TASK

  • Generation of undelivered PO
  • Diversion of undelivered items from PO to another vendor
  • Rebooking of items in EZRX+ (Note: Kindly request an OMR Report from Zuellig's Point person prior rebooking - as this report shows the reason of the booking cancellation)
  • Record manual Receiving Report (RR) in the system and Submission of manual RR to Accounting team
  • Follow up undelivered items per supplier

MONTHLY TASK

  • Updates savings report monitoring
  • Updates cancelled PO reports monitoring

QUALIFICATION

  • Bachelor's Degree in Supply Chain Management, Procurement, or a related field
  • Minimum of 3 years of experience in procurement, particularly in a busy pharmacy environment
  • In-depth knowledge of pharmaceutical procurement processes and best practices
  • Strong negotiation skills with suppliers
  • Excellent organizational and time-management skills
  • Familiarity with inventory management systems and software
  • Knowledge of relevant regulatory requirements in the pharmaceutical industry
