OBJECTIVE AND PURPOSE OF THE ASSIGNMENT

In response to the multiple IT initiatives and reforms under Digital Agenda 2030, the company is seeking the engagement of an IT Adoption and Change Manager to ensure that changes brought by digital transformation initiatives are being adopted. Digital transformation initiatives will include changes to technology and systems, business processes and job roles as part of the company's digital transformation and new ways of working initiatives.

The incumbent will work closely with the project teams, project sponsors and stakeholders impacted by the changes to ensure that these changes are adopted and sustained. In particular, the incumbent will prepare a change impact analysis and a people to benefits mapping. Based on these, the incumbent will prepare the change management approach and detailed plans, e.g. for training and communications.

The Adoption and Change Manager will report to the ACM Change Lead and/or designated staff members.

SCOPE OF WORK

  • Assess how changes brought by digital transformation initiatives impact people in the company
  • Prepare a change impact analysis, a change management approach, as well as mapping of impacted groups to benefits
  • Manage the delivery of ACM activities, including training, communication, adoption measurement.
  • Prepare and execute detailed ACM plans
  • Lead the implementation of the ACM strategy, plans, and activities
  • Report on the ACM progress

Detailed Tasks and/or Expected Output

  • Engage and collaborate with project teams and stakeholders to achieve good understanding of IT initiatives and projects
  • Assess the business change impact of IT initiatives or projects by conducting impact analysis, stakeholder analysis, and measuring the users' readiness for change
  • Apply the ACM process and necessary tools in creating a strategy to support adoption of change and ensuring that the ACM strategy is aligned with important change initiatives undertaken by the organization
  • Work with the project team, product owner and business owner to integrate change management plans to the overall project plan
  • Work closely with vendors on ACM deliverables, and make sure these deliverables match the company's quality standards
  • Develop and lead the implementation of ACM plans such as, but not limited to: (i) Sponsor Roadmap, (ii) Champion Engagement Plan, (iii) Coaching Plan, (iv) Communications Plan, (v) Training Plan, (vi) Resistance Management Plan, (vii) Adoption Measuring and Monitoring Plan, and (viii) Rewards and Recognition Plan
  • Build a network of Change Agents, Change Sponsors and Departmental Change Champions, including their expected responsibilities
  • Engage and support the executive and business sponsors, managers, and departmental champions in the fulfillment of their roles as change agents
  • Identify potential areas of resistance to change and develop counter strategies to reduce doubts, uncertainties, and foster positive acceptance of changes
  • Recommend best approach to development of instructional materials, adoption of change scenarios, manuals and quick guides
  • Conduct coaching, training and communication activities
  • Maintain a close working relationship with coaching, training, communications, and support team members for successful implementation of change initiatives
  • Define and measure adoption success metrics and recommend and implement improvements as needed
  • Raise to the project manager any risks and issues related to ACM, including proposed action items to resolve the issue
  • Provide inputs to plans for the project's early life support and transition to business-as-usual stage, including updates
  • Ensure ACM plans are up-to-date and relevant
  • Perform other tasks and ad hoc activities that may be assigned from time to time

MINIMUM QUALIFICATION REQUIREMENTS

  • Bachelor's degree in Information Technology, Psychology, Organizational Development, or related field
  • A strong awareness and understanding of the company's business processes and guidelines is an advantage.
  • Change management certification, such as Prosci, and post-graduate degree are desirable. If the incumbent does not have a certification, they are expected to obtain certification within the first 12 months of their engagement.
  • Demonstrated experience in planning, leading and coordinating organization-wide change management efforts, particularly of IT-based projects or initiatives
  • Experience with project management
  • Excellent command of written and spoken English
  • Problem-solving and root cause identification skills
  • Experience with IT project management methodologies and tools
