Purchasing and Asset Supervisor

The Purchasing and Asset Supervisor is responsible for overseeing all procurement, asset management, and inventory control activities within the company. This role ensures that purchasing transactions are cost-efficient, transparent, and compliant with company standards, while also maintaining accurate records and monitoring of all company assets throughout their lifecycle.

Responsibilities:

1. Leadership & Oversight

• Conduct daily team huddles to assign priorities, discuss pending requests, and align tasks.
• Review daily tracker updates and validate entries for accuracy.
• Monitor status of PRFs, POs, deliveries and issuance to the requestor.

2. Procurement

• Review all incoming PRFs before authorizing canvassing or purchasing.
• Validate supplier quotations and ensure correct specifications and pricing.
• Approve POs and maintain follow-up with suppliers on delivery schedules.
• Resolve procurement issues, delays, or quality discrepancies.

3. Asset Management

• Oversee asset issuance, returns, and tagging procedures to ensure full traceability.
• Review the asset team tracker.
• Ensure storage area is organized daily following 5S standards.
• Validate the transfer of asset (inter-location and employee transfer)

4. Documentation

• Ensure that all signed documents are scanned and saved to the google drive.
• Review the scanned documents once sent to the team's Group Chat.
• Verify that all team documents are compliant with the filing standards of the department.

5. Vendor and Interdepartmental Coordination

• Communicate and negotiate with suppliers to secure the best possible final pricing, ensuring alignment with budget limits, quality requirements, and delivery timelines for technical items.

• Maintain strong working relationships with vendors, requestors, and cross-functional teams to ensure seamless procurement operations and timely fulfillment of requirements.

6. Performs other related tasks and responsibilities that may be assigned by management from time to time.

Preferred qualifications:

• 1–2 years of relevant experience in inventory management, warehouse operations and purchasing, ideally in a fast-paced environment.
• Proficient in Google Sheets and basic record management tools for asset and purchasing documentation.
• Knowledgeable in the 5S methodology for storage room organization: Seiri (Sort), Seiton (Set in Order), Seiso (Shine), Seiketsu (Standardize), and Shitsuke (Sustain).
• Highly dependable, detail-oriented, and accountable, with strong focus on accuracy, honesty, and data integrity.
• Able to work independently with minimal supervision and deliver results under pressure or tight schedules.
• Strong work ethic and professionalism, with the ability to strictly follow and enforce company policies, guidelines, and compliance standards at all times.
• Excellent communication and coordination skills when dealing with suppliers, internal teams, and clients.
