Job Opening: Accounting Clerk

Location: G/F ESNA Building, 30 Timog Avenue, Quezon City

Work Set-up: On-site (Full-Time)

Reports to: Lead Bookkeeper

Job Summary

Doña Alejandra, Inc. is seeking a detail-oriented Accounting Clerk to join our expanding ICT solutions team. This role is responsible for the foundational "paper-to-digital" workflow, ensuring all financial transactions are supported by proper documentation, recorded accurately, and filed in compliance with Philippine regulations. You will work directly under the Lead Bookkeeper and support the Part-Time Accountant in maintaining a high standard of financial integrity.

Key Responsibilities

1. Accounts Payable & Procurement Support

  • Three-Way Matching: Verify and match supplier invoices with Purchase Orders (POs) and receiving reports/delivery receipts to ensure we only pay for what was ordered and received.
  • Voucher Preparation: Prepare Disbursement Vouchers (DVs) for daily transactions and facilitate payments through checks or online banking.
  • Vendor Management: Maintain clean vendor ledgers, reconcile monthly statements, and act as the primary point of contact for payment inquiries.

2. Accounts Receivable & Collection Support

  • Assist in monitoring customer accounts and preparing Statements of Account (SOA).
  • Maintain organized records of all collections and official receipts.

3. Data Entry & Documentation

  • QBO Support: Assist the Lead Bookkeeper in encoding daily expenses and bills into QuickBooks Online Advanced.
  • Digital Filing: Scan and attach all supporting documents (receipts/contracts) to their respective transactions in QBO.
  • Physical Filing: Maintain the physical "Audit-Ready" filing system (locking cabinets) for all BIR-required documents.

4. Statutory & Tax Compliance

  • Government Filings: Prepare and process monthly contributions and loan payments for SSS, PhilHealth, and Pag-IBIG.
  • BIR Support: Assist in the preparation of documents for monthly VAT and Withholding Tax filings.
  • Maintain updated Books of Accounts (Manual or Loose-leaf as required by the BIR).

5. Administrative & General Accounting

  • Assist in performing monthly physical inventory counts of ICT hardware.
  • Help the Accountant gather documentation for year-end audits or the "2-year clean-up" project.

Qualifications

  • Education: Bachelor's degree in Accountancy, Management Accounting, or Finance.
  • Experience: At least 1–2 years of experience in Accounts Payable, Accounts Receivable, or general bookkeeping is preferred. Fresh graduates with strong internship records are welcome to apply.
  • Software Skills: * Basic to Intermediate proficiency in QuickBooks Online.
  • Proficient in Microsoft Excel (ability to use formulas and create tables).
  • Core Competencies:
  • High Attention to Detail: Must be able to spot discrepancies in numbers and dates between invoices and receipts.
  • Integrity: Proven ability to handle confidential financial information with absolute discretion.
  • Organizational Skills: Ability to manage a high volume of paperwork without losing track of deadlines.

Job Type: Full-time

Pay: Php23, Php30,000.00 per month
