Position: Purchasing Admin Assistant
Location: 2nd Floor, Lexmark Plaza 3, Cebu City
Work Set-Up and Schedule: On-Site (Monday to Friday) and Mid Shift (12PM to 9PM)
Position Summary:
This role will be responsible in providing support in managing order processing, inventory checks, calculations and other administrative tasks. This role requires strong attention to detail, advanced Excel skills, and able to handle complex data and calculations with accuracy.
Duties and Responsibilities:
• Process customer orders and assist in reviewing and analyzing Profit & Loss for each transaction.
• Prepare order summaries and assist in tracking cancel dates in coordination with the Purchasing Team Leader.
• Assist in locking in orders with Accounts and ensure all supporting documents are complete.
• Track and monitor bestsellers and assist in preparing focused offers.
• Update, manage, and close leads in and CRM systems.
• Review and audit large Excel files for accuracy in numbers, inventory, pricing, margins, and calculations.
• Validate discounts, markups, and profitability based on provided price lists and P&L structure.
Qualifications:
• Bachelor's Degree in any field.
• At least 1-2 years of experience in purchasing or administrative support roles.
• Strong analytical skills and a solid understanding of discounts, markups and basic Profit & Loss concepts.
• Required: Advanced Excel proficiency — has the ability to use pivot tables, VLOOKUP & XLOOKUP, creating formulas for calculations and handling large datasets.
• Highly detail-oriented, meticulous with numbers, and able to spot discrepancies quickly.
• Proactive, organized, and capable of working under tight deadlines.
• Strong communication and coordination skills, with the ability to take constructive criticism.
• Preferably someone who can start ASAP.
• Amenable to Work On-Site (Monday to Friday).
• Amenable to Work in Mid Shift schedule (12PM to 9PM).
