The Accounting Assistant (Inventory) supports the Finance and Accounting Department by managing accounting functions, putting emphasis on inventory processes. This role assures accurate financial record-keeping, timely reporting and efficient inventory management in the company. This position involves the following:

  1. Accounting Support

  2. Assist with Accounts Payable and Receivable tasks, including the processing of invoices, issuing payments and reconciling statements

  3. Maintain accurate and up-to-date financial records, including general journal and ledgers entries, and expense reports.

  4. In charge of recording entries for the Company Journal in order to properly record Fixed Assets, locating and observing theft, damages, or other conditions that are necessary for recording and reporting purposes

  5. Assist with month and year end financial closing activities, including account reconciliations

  6. Support the preparation of financial reports and analyses of Management.

  7. Inventory Management

  8. Ensure that the stock levels and type of supplies are readily available

  9. In charge of issuing office supplies and type of supplies are readily available

  10. Responsible for issuing materials and equipment (laboratory, gown, laboratory shoes, etc) to newly hired employees

  11. Monitor and manage inventory levels, ensuring accurate and timely recording of stock movements, restocking and transactions

  12. Conduct regular inventory counts and audits to verify stock accuracy and resolve discrepancies

  13. Performs physical inventory count at least twice a year

  14. Update and maintain inventory records in the inventory tracking sheet including receipts, adjustments and transfers

  15. Coordinate with the purchasing and production departments to ensure optimal inventory levels and timely procurement of materials

  16. Documentation and Compliance

  17. Ensure compliance with company policies, accounting standards and regulatory requirements related to inventory management and financial reporting

  18. Maintain accurate documentation and records for all inventory transactions and financial activities

  19. Assist with internal and external audits by providing required documentation and supporting information

  20. Prepares the Quarterly Summary Report for Disposed Raw Materials, Packaging Materials and other materials used during production

  21. Prepare the Month-End Summary Report of Sales and Accounts Receivable

  22. Cross-Functional Collaboration

  23. Work closely with other departments, including Production, Purchasing and Sales to ensure effective inventory management and accurate financial reporting

  24. Resolve invoice discrepancies, payments and inventory- related matters with the respective stakeholders

-Regularly coordinates with the Purchasing Office for new orders from different sections and divisions of the plant if needed

-Responsible for counting and recording the weight of disposed materials on a weekly basis.

  3. Reports to the immediate supervisor any problems that may affect normal operation and efficiency

  4. Responsible for good cooperation with other Finance and Accounting Section Personnel

  5. Collaborates with other personnel to foster company culture, mission and vision

  6. Gives truthful, accurate and evidence-based recommendations of colleagues for reasons such as but not limited to regularization, promotion, job transfer and the like

  7. Complies with standard operating procedures and Company Rules and policies

  8. Assigned to accomplish other duties and responsibilities that may be assigned by the Immediate Supervisor and Management

Requirements:

  1. Should be a graduate of a Bachelor's Degree of Accountancy

  2. With at least one (1 ) of practical experience in the same field

  3. Completed at least eight (8) hours of relevant training

  4. Proficient in computer knowledge and applications such as but not limited to Microsoft Excel, Powerpoint, Word etc .
