Job Title: Administrative Assistant – Logistics Company

Department: Administration / Operations

Reports To: Port Supervisor

Job Summary

The Administrative Assistant supports the daily administrative and clerical functions of the logistics department to ensure efficient and smooth operations. This role involves handling documentation, coordinating communication between internal teams and external partners, and providing general administrative support to logistics staff.

Key Responsibilities

  • Provide general administrative support including answering phone calls, responding to emails, and greeting visitors.
  • Prepare, organize, and maintain shipping, inventory, and logistics documents such as delivery receipts, invoices, bills of lading, and purchase orders.
  • Assist in tracking orders and ensuring timely movement and delivery of goods.
  • Coordinate with suppliers, carriers, vendors, and customers to facilitate shipments and resolve basic operational issues.
  • Maintain and update filing systems, databases, and records related to logistics activities.
  • Schedule meetings, appointments, and logistics-related communication for the team.
  • Process internal paperwork such as expense reports, requisitions, and office supply orders.
  • Assist in preparing regular operational reports for management.
  • Support HR or other departments with clerical tasks when necessary.
  • Perform other duties as assigned to support logistics operations and overall business processes.

Qualifications

  • Bachelor's degree in Business Administration, Logistics, Supply Chain Management or related field (preferred but not always required).
  • Proven experience (e.g., 1–3 years) in an administrative or logistics support role.
  • Proficient in MS Office (Word, Excel, Outlook) and basic database systems.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent written and verbal communication skills.
  • Detail-oriented with the ability to maintain accurate records.
  • Ability to work independently and collaboratively within a team.

Working Conditions

  • Full-time, on-site in the logistics office environment.
  • May require occasional coordination outside regular business hours depending on operations.

Job Type: Full-time

Pay: Php Php550.00 per day
