Job Summary

The Project In-Charge manages and oversees assigned fit-out projects, ensuring timely completion, quality compliance, and adherence to safety standards. This role involves planning, execution, resource management, and close coordination with clients, vendors, subcontractors, and internal teams.

Key Responsibilities

Project Implementation

  • Develop project plans, timelines, and deliverables.
  • Review construction drawings and material specifications before execution.
  • Lead kickoff and safety orientation meetings with stakeholders.
  • Supervise daily site operations, ensuring work quality and compliance with safety standards.
  • Prepare and monitor Material Requests (MR) and deliveries.

Reporting & Communication

  • Submit project status reports, issues, and resolutions to head office.
  • Facilitate weekly coordination meetings with vendors, subcontractors, and stakeholders.
  • Prepare minutes of meetings (MOM), Certificates of Completion (COC), and milestone billing certificates.

Stakeholder Management

  • Build and maintain strong relationships with building administrators, vendors, subcontractors, and clients.
  • Ensure project requirements and deadlines are met through effective coordination.

Resource Management

  • Oversee subcontractors and support staff to ensure deliverables are met.
  • Monitor project performance and recommend adjustments when needed.

Project Close-out

  • Manage project turnover, documentation, and testing/commissioning.
  • Prepare and collate As-Built plans, test results, and O&M manuals for client submission.

Qualifications

  • Licensed Architect, Engineer, or equivalent (Professional License required)
  • Minimum 4 years of relevant experience, with at least 3 years in fit-out project management
  • Preferably with supervisory experience in Architecture/Interior Design or related fields
  • Proficient in Microsoft Office and AutoCAD
  • Strong problem-solving, critical thinking, and project management skills
  • Excellent communication and stakeholder management skills
  • Detail-oriented, dependable, and able to work independently
