Position Overview
This role goes beyond traditional reception duties. The receptionist is responsible for managing the full guest communication ecosystem, reservations, inquiries, and pre-arrival experience, supporting floor operations during peak periods, and assisting management with administrative tasks. This position plays a key role in connecting guest expectations with operational execution, ensuring seamless service from inquiry to departure.
Key Responsibilities
Reservations & Inquiry Management
● Handle all guest inquiries across email, phone, WhatsApp, social media DMs, and
SevenRooms messaging, etc.
● Manage daily reservations on SevenRooms, ensuring accurate guest details, notes, and
pre-arrival confirmations.
● Monitor and respond to all booking requests, special occasions, dietary needs, and large group inquiries.
● Coordinate reservation flow, waitlist management, and table allocations based on real-time floor conditions.
● Prepare daily cover counts, shift notes, VIPs, and event summaries for the management team.
Guest Relations
● Serve as the first point of contact, offering warm, personalized, and knowledgeable service before and during the guest visit.
● Manage walk-in guests, provide wait time estimates, and oversee the queue.
● Communicate guest expectations and important notes to servers, floor leaders, and the kitchen.
● Ensure the reception and entrance area reflects Uma Nota's brand and energy at all times.
Operational Support
● Actively assist the FOH floor team during peak periods with seating, table turnover, and guest coordination.
● Support management in executing events, group bookings, and private room arrangements.
● Provide administrative support including updating guest profiles, compiling feedback, daily logs, and communication reports.
Administrative & Coordination Duties
● Maintain accurate records of guest interactions, incidents, and service recovery actions.
● Assist in updating reservation settings, floor plans, and booking policies in SevenRooms.
● Coordinate with Marketing for social media replies related to bookings or inquiries.
● Support the Management Team with operational prep, communication, and documentation as required.
Qualifications
● Experience in hospitality, reservations, or guest-facing roles preferred.
● Strong written and verbal communication skills across multiple channels.
● Tech-savvy; comfortable with messaging apps, reservation platforms, and communication tools.
● Ability to multitask and stay composed under pressure in a fast-paced environment.
● Professional appearance, positive attitude, and a guest-first mindset.
● Willingness to work evenings, weekends, and holidays.
