9:00 AM – 6:00 PM GMT (5:00 PM – 2:00 AM PH Time)
This is a full-time remote position for an individual contractor, offering an exciting opportunity to work with a dynamic and growing team.
Important:
We are looking for a dedicated professional who can commit full-time to this role. Freelancers or individuals managing multiple bookkeeping clients will not be considered.
Job Purpose
Purpose of this role is ensuring the smooth operation of the Company's financial administration processes. This role is central to the accurate management of accounts receivable, invoicing, reconciliations, and financial records, directly supporting the organisation's commitment to safe, efficient, and sustainable solutions.
The core purpose of this role is to work closely with the CFO, and wider operational teams, ensuring that financial processes run efficiently, queries are resolved promptly, and management reporting requirements are met.
Key Responsibilities/Accountabilities
Strategic (10%)
- Support the organisation's financial governance by ensuring accurate, up-to-date, and compliant financial records.
- Maintain essential data and records to enable CFO/Management to make informed financial related decisions for the business.
- Build frameworks for continuous improvement to help scale the finance function in line with demands of global expansion.
Financial (20%)
- Managing the sales invoicing and ensure all sales are billed correctly and queries resolved in a timely manner.
- Monitor outstanding payments, follow up with customers, and maintain debtor days within company policy.
- Ensure weekly/monthly bank reconciliations of accounts receivable and general ledger and reconcile internal payments.
- Ensure accuracy in calculation of commissions to various stakeholders and fair administration of the process.
- Provide timely and accurate financial information for external accountants, auditors, and compliance reporting.
- Maintain records for VAT, payroll support data, and statutory requirements.
Functional / Operational (50%)
- Manage financial queries and ensure professional, prompt resolution.
- Maintain up-to-date financial spreadsheets for monthly billing and reconciliation activities.
- Effectively handle transactions across multiple systems – Xero (accounting software), Admin, internal spreadsheets, and HubSpot CRM to ensure accuracy in financial reporting.
- Ensure manual processes related to invoicing are completed efficiently while supporting future automation and integration activities between business and accounting applications.
- Liaise with suppliers, vendors, and customers to ensure timely resolution of billing and payment queries.
- Keep track of all invoices that have been raised and ensure proactive updates to Management and CFO on this front along with clear timelines, stakeholders involved etc.
- Collaborate with Sales and Operations teams to ensure smooth handover of billing and contract details.
- Assist in stock reconciliations and verifications wherever required and requested.
- Act as first point of contact for internal/external financial queries, ensuring clear communication and issue resolution.
- Liaise with Sales, Customer Success, and Operations teams to align invoicing and account management with client delivery.
- Work closely with CFO to ensure reconciliations, commissions, and month-end tasks are completed accurately.
- Ensure release of periodic reports to Management and CFO on outstanding debts and follow-up procedures in place.
- Support the sales and general ledger function.
- Assist in ad hoc reporting requirements as requested and in a timely manner.
People (20%)
- Ensure inter-departmental collaboration with key stakeholders in – Sales, Customer Success and Operations.
- Contribute to a culture of teamwork, reliability, and integrity.
- Focus on timely resolution of account related queries, directly contributing to customer satisfaction and smooth operational delivery.
Desired Qualifications
Qualification in Accounting, Finance, or Business Administration.
Desired Experience
Minimum 2 to 3 years' experience in accounts/finance administration role.
Experience working with accounting and CRM softwares and familiarity with SaaS or technology-driven organisations will be an added advantage.

- Strong problem-solving and numerical analysis skills with an ability to link operational data to financial outcomes.

- Ability to plan and prioritise daily, weekly, and monthly tasks to meet strict deadlines.
- Skilled at working with multiple stakeholders across – Finance, Sales, Customer Success and Operations teams, ensuring clear and concise communication.
