Job Purpose

As an Administrative Coordinator, you will be part of the team providing support for the Manila office. You will serve as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; organizes and facilitates meetings, and other special events, as required.

Key Responsibilities

  • Maintains continuity of work operations by documenting and communicating needed actions to management, discovering irregularities, and determining continuing needs

  • Coordinates and oversees the day-to-day management of supplies, equipment, and facilities for the organization, as appropriate, to include maintenance, inventory management, logistics, and other related activities

  • Assists in the coordination and supervision of security and utility personnel

  • Oversees management of office supplies, equipment and its maintenance.

  • Facilitates billing and payments concerns among vendors.

  • Addressing health, safety, and worker-management issues

  • Provide service to all staff to maintain daily, weekly, and monthly routine activities such as food and drinks during meetings, treats and rewards, prizes and other small benefits

  • Resolves administrative problems by analysing information and identifying and communicating solutions

  • Monitors and coordinates accounting activities as appropriate and prepares internal reports for management; participates in budget planning and management, as required

Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; organizes and facilitates meetings, and other special events, as required

  • Provides confidential secretarial and administrative support, greeting and directing visitors, and dealing with administrative problems and inquiries as appropriate

  • Coordinate with hotels for accommodation reservation and airport transfers

  • Working with RAM Manila HR for any staff related concerns

  • Record, liquidate and keeping of all accounting related receipts

Qualifications

  • Must have a minimum of 6 months to 1 year experience as Administrative Coordinator
  • Great Attention to Detail
  • Time management. Willing to work under pressure and able to meet tight deadlines
  • Adhering and understanding Service Levels
  • Self-Motivated, able to work independently and professionally in a highly disciplined manner
  • Ability to work as a team
