Job Purpose
As an Administrative Coordinator, you will be part of the team providing support for the Manila office. You will serve as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; organizes and facilitates meetings, and other special events, as required.
Key Responsibilities
Maintains continuity of work operations by documenting and communicating needed actions to management, discovering irregularities, and determining continuing needs
Coordinates and oversees the day-to-day management of supplies, equipment, and facilities for the organization, as appropriate, to include maintenance, inventory management, logistics, and other related activities
Assists in the coordination and supervision of security and utility personnel
Oversees management of office supplies, equipment and its maintenance.
Facilitates billing and payments concerns among vendors.
Addressing health, safety, and worker-management issues
Provide service to all staff to maintain daily, weekly, and monthly routine activities such as food and drinks during meetings, treats and rewards, prizes and other small benefits
Resolves administrative problems by analysing information and identifying and communicating solutions
Monitors and coordinates accounting activities as appropriate and prepares internal reports for management; participates in budget planning and management, as required
Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; organizes and facilitates meetings, and other special events, as required
Provides confidential secretarial and administrative support, greeting and directing visitors, and dealing with administrative problems and inquiries as appropriate
Coordinate with hotels for accommodation reservation and airport transfers
Working with RAM Manila HR for any staff related concerns
Record, liquidate and keeping of all accounting related receipts
Qualifications
- Must have a minimum of 6 months to 1 year experience as Administrative Coordinator
- Great Attention to Detail
- Time management. Willing to work under pressure and able to meet tight deadlines
- Adhering and understanding Service Levels
- Self-Motivated, able to work independently and professionally in a highly disciplined manner
- Ability to work as a team
- Honest and Transparent
- Ability to adapt to a fast-paced environment
- Professionally presented at all times
- Willing to work beyond required hours if needed and punctual at all times
- Must have a good sense of responsibility and initiative
- Willing to work in Ortigas
