Position Title: PROCUREMENT & LOGISTIC OFFICER
Location: Based in the Cebu City
Reports to: FINANCE MANAGER
JOB SUMMARY
Procurement and Logistics Officer: Responsible for managing procurement and logistics processes, including vendor coordination, requisition processing, and compliance with policies. Also, overseas in-kind donations retrieval and inventory management to ensure smooth office and organizational operations.
PRINCIPAL RESPONSIBILITIES
REQUISITION & PURCHASE PROCESSING
- Process approved requisitions and ensure the timely purchase of required items as submitted by the programs and administration departments
- Manage the canvassing and selection process for suppliers across the four provinces, ensuring competitive pricing and quality products/services.
- In charge of conducting thorough due diligence on potential suppliers for bulk purchases, including assessment of their capacity and legitimacy, prior to awarding contracts.
- Adhere to the organization's procurement standards and policies to ensure that all purchases are conducted efficiently and in compliance with internal procedures.
- Maintain an updated list of vendors and suppliers, ensuring proper documentation and categorization for easy reference, and ensuring complete submission of vetting and updated requirements.
- Set up and manage paper or electronic filing systems, recording information, updating paperwork, and maintaining documents such as attendance records, correspondence, and other materials.
- Maintain accurate and efficient records of all communication and official documents for the organization.
LOGISTIC MANAGEMENT
- Coordinate logistics support for office operations, meetings, trainings, and other organizational activities.
- Responsible for the monthly preparation and submission of Inventory Reconciliation Reports with complete supporting documents.
- Donations and Distribution Management – Ensures the timely retrieval of in-kind donations, recording of all incoming items, and monitoring proper distribution.
QUALIFICATIONS
- bachelor's degree in business administration, Accounting, Management, or related fields is preferred.
- Minimum of 2-3 years in procurement and logistics management, preferably in a non-profit or similar organizational setting.
- Knowledge of procurement practices, vendor management, and negotiation skills.
- Intermediate skills in Microsoft Office tools, with proficiency in Excel.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively in a team environment.
- Ability to manage and prioritize multiple tasks efficiently.
- Strong commitment to confidentiality and data privacy.
- Ability to handle sensitive information and work under pressure.
- Driving skills and a valid driver's license is a plus.
- Willingness to work on-site.
