The Opportunity
Our partner, a leading Australian financial services firm known for its deep client focus and commitment to best-practice financial advice, is hiring for Financial Administrator This organization specializes in providing advice to self-employed professionals and small business owners, who have a desire to protect their families, their business and their income. They advocate and embrace a goals and objectives-based financial planning process to provide clients with tailored and holistic financial advice.
We are looking for a highly capable Financial Planning Associate Adviser who will be instrumental in supporting a Senior Financial Advisor to jointly manage their client base. The successful candidate must be fully competent in financial advice strategies and well-informed on products, services, and the relevant industry regulations to contribute strategically to client solutions.
This role is required to fully report onsite during the first 6 months, then will follow 3x a week onsite, 2x a week working from home. Working hours will follow Australian Business Hours.
Key Responsibilities
- Manage the end-to-end development of all advice documents, including Statements of Advice (SOA) and Records of Advice (ROA), ensuring full compliance with prevailing industry regulations and licensee policies.
- Coordinate the advice implementation stage, which includes completing product applications and assisting clients with necessary forms and supporting documentation.
- Serve as the primary liaison with external parties on behalf of clients (e.g., Lawyers, Insurers, Fund Managers, Accountants, Mortgage Brokers), managing communication and ensuring seamless coordination.
- Conduct research on existing and potential replacement products (including product comparisons, insurance analysis, and quoting) to prepare the most appropriate client recommendations.
- Manage relationships with external paraplanners, including outsourcing complex advice documents, overseeing quality and compliance checks, and managing turnaround times and fee agreements.
- Proactively manage all internal and external turnaround times and deadlines to ensure the timely delivery of client advice.
- Provide essential administrative support to Financial Advisors, such as generating insurance quotes and gathering additional research information as needed for advice preparation.
- Regularly review, understand, and apply Aon Hewitt FA's compliance standards, and maintain up-to-date knowledge of the firm's approved products and services list.
- Complete identified projects to enhance services across the team or wider business. Furthermore, provide essential relief support during team absences (holidays/illness) by taking on additional tasks to ensure continuous operations
Skills, Experience & Qualifications
- Bachelor's degree in business/finance discipline or related field;
- At least 3 years of working experience in Australian Financial Planning
- Financial planning, banking or insurance experience to assist with an understanding of delivering advice documents that suit client needs;
- Experience using Xplan or a similar financial planning software is nice to have.
- A Diploma/certification in Financial Planning, or similar is a plus.
- Excellent communication skills.
