Job Summary:
The Payroll Assistant is responsible for providing support in the accurate and timely preparation, processing, and distribution of employee salaries and benefits. The role ensures compliance with labor laws and internal policies, maintains payroll records, and assists in the administration of HRIS or payroll systems. The Payroll Assistant works closely with HR, Accounting, and Operations to ensure smooth payroll operations.
Key Responsibilities:
- Assist in the preparation and processing of end-to-end payroll for all employees.
- Validate attendance, overtime, leaves, deductions, and allowances in coordination with HR and Operations.
- Ensure compliance with labor laws, statutory contributions (SSS, PhilHealth, Pag-IBIG), and government reporting requirements.
- Maintain and update payroll records, employee files, and HRIS databases.
- Assist in the reconciliation of payroll discrepancies and respond to employee payroll-related inquiries.
- Coordinate with Finance for salary disbursements and ensure timely crediting of employee pay.
- Generate payroll reports (monthly, quarterly, annual) as required by HR and management.
- Assist in the processing of final pay, back pay, and other payroll adjustments.
- Support HR and Accounting teams during audits, DOLE inspections, and other compliance checks.
- Perform other payroll-related tasks as assigned by the Payroll Officer or HR Manager.
Qualifications:
- Bachelor's degree in Human Resource Management, Accounting, Business Administration, or related field.
- At least 2 years of experience in payroll processing and/or HRIS administration.
- Has an understanding of Philippine Labor Law and government-mandated benefits (SSS, PhilHealth, Pag-IBIG, BIR).
- Experience using HRIS / payroll software is an advantage but not a requirement
- Strong attention to detail, accuracy, and confidentiality.
- Good organizational, time management, and problem-solving skills.
- Proficient in MS Excel and Google Sheets (knowledge of tables, formulas, and payroll templates).
- Excellent communication and interpersonal skills.
