JOB SUMMARY
The Sales Operations Support Lead is responsible for managing and streamlining the administrative processes that support residential real estate sales. The role involves overseeing documentation flow, transaction monitoring, CRM data management, and coordination with multiple departments to ensure that all sales records and reports are accurate, timely, and compliant with both company policies and regulatory standards.
KEY RESPONSIBILITIES
Sales Administration
· Supervise the Sales Operations Support team in processing reservation forms, booking documents, and sales contracts.
· Review, encode, and file sales-related documents following internal and government guidelines.
· Coordinate the approval, release, and distribution of key sales documents such as Reservation Agreements, CTS, and DOAS.
· Track and facilitate requests for cancellations, transfers, and reactivations to ensure prompt resolution.
Sales Data & Reporting
· Manage accurate data encoding and maintenance in CRM, ERP, and other sales tracking systems.
· Validate unit availability, pricing details, and sales status updates.
· Generate and analyze regular sales performance reports and dashboards (daily, weekly, and monthly).
· Process Improvement & Compliance
· Identify opportunities to improve efficiency within sales support workflows.
· Ensure adherence to company policies and real estate compliance requirements (HLURB/DHSUD, BIR, etc.).
· Conduct regular checks and audits of sales records and system entries to maintain data integrity.
Coordination & Communication
· Serve as the central point of contact among Sales, Marketing, Documentation, Finance, Customer Relations, and Technical teams.
· Assist in sales-related activities such as events, project launches, and broker briefings.
· Address issues related to documentation or system processes in a timely manner.
Team Leadership
· Lead and develop the Sales Operations Support team to achieve operational goals.
· Monitor individual and team performance to ensure targets and standards are met.
· Provide ongoing coaching and training to enhance efficiency, accuracy, and compliance.
QUALIFICATIONS
· Bachelor's degree in Business, Marketing, Real Estate Management, or a related discipline
· –5 years of experience in sales operations or administrative support, preferably in real estate
· At least 2 years of supervisory or team leadership experience
· Strong attention to detail with excellent analytical, organizational, and documentation skills
· Proficient in MS Office applications and CRM/ERP systems
· Familiar with real estate sales workflows and compliance requirements
· Excellent communication, coordination, and leadership skills
· Responsible, detail-oriented, and flexible to travel or relocate when necessary
