Summary

The Xero Implementation & System Administrator will lead the end-to-end setup, migration, and ongoing administration of Xero across the organization. This role ensures the system is optimally configured, integrated with other business tools, and aligned with accounting and reporting needs. The candidate will also serve as the primary administrator, managing updates, user access, and troubleshooting, while providing training and support to end-users.

Key Responsibilities

Implementation & Migration

  • Plan and execute full Xero implementation or system upgrades
  • Configure chart of accounts, tax settings, tracking categories, and approval workflows
  • Import and validate historical financial data during migration
  • Develop and document standard operating procedures for Xero usage

System Administration & Updates

  • Maintain system integrity and ensure Xero is up-to-date with new features
  • Manage user accounts, permissions, and role-based access
  • Implement and monitor security best practices within Xero
  • Apply configuration changes as business needs evolve

Integration & Automation

  • Connect Xero with third-party applications (POS, inventory, CRM, payroll, e-commerce)
  • Create and maintain automation rules for bank reconciliation and transactions
  • Test and troubleshoot integration issues with other platforms

Financial Operations Support

  • Oversee bank feeds, reconciliation processes, and transaction accuracy
  • Customize and generate management reports (P&L, Balance Sheet, Cash Flow)
  • Support finance team in month-end and year-end processes

Training & Change Management

  • Conduct user training sessions and prepare reference materials
  • Provide first-line support for Xero-related queries and issues
  • Lead change management activities during system rollout or upgrades

Job Qualifications

Education & Certification

  • Bachelor's degree in Accounting, Finance, or Information Systems
  • Xero Advisor Certification and/or Xero Migration Certification preferred
  • Project Management certification (PMP, PRINCE2) an advantage
