We're looking for a highly organized and detail-driven Real Estate Operations & Portfolio Coordinator to support the management of a U.S.-based residential property portfolio. The portfolio consists of an 8-unit apartment building and 6 single-family homes, all managed remotely. This role is ideal for someone with a strong background in property management, excellent communication skills, and the ability to balance operational oversight with precise administrative execution.

Key Responsibilities
  • Oversee the daily operations of multiple residential properties in coordination with third-party property management companies.
  • Ensure accurate and timely payment of HOA fees, municipal taxes, and other property-related expenses.
  • Maintain and update Excel-based financial records for tracking and reporting.
  • Generate detailed accounting and financial reports for review.
  • Coordinate maintenance and repair work by managing vendor and contractor communications.
  • Communicate with tenants regarding property concerns or inquiries as needed.
  • Perform regular monthly property status reviews at the beginning, middle, and end of each month.
  • Conduct market research and analyze potential real estate acquisition opportunities.
  • Support portfolio growth and operations through administrative tasks and documentation.
Qualifications & Experience
  • Prior experience in U.S.-based property management or real estate operations.
  • Advanced proficiency in Excel and data management tools.
  • Strong written and verbal English communication skills.
  • Experience working with property managers, contractors, and vendors.
  • Ability to manage multiple priorities with independence and accuracy.
  • Strong attention to detail in both financial and administrative reporting.
Preferred Skills
  • Knowledge of U.S. housing regulations, property laws, and tax requirements.
  • Familiarity with property management software systems.
  • Understanding of rental operations and tenant communications.
  • Availability to work during U.S. business hours.
