
Front Desk Receptionist

HR and Admin Role:
· Manage reception desk, greeting guests and helping them with their inquiries.
· Screen and direct phone calls and other forms of communication made to the office, responding in a timely manner to inquiries
· Receive, sort and process documents and other incoming and outgoing mail (physical and digital), forwarding to concerned employees
· Monitor and arrange for replenishment of office supplies and other stock as necessary
· Ensure general upkeep of the office, regularly checking and reporting any discrepancies or damaged equipment as needed
· Assist in payroll processing by accurately collating time logs every cut-off
· Ensure safekeeping of assigned documentation and records and enforce policies related to updating of these
· Provide other administrative support to other HR functions and departments as needed
Sales Admin Role:
· Weekly preparation of Collectors List (collection list is emailed to kylie from finance for coordination of suppliers with check for collection) Coordination with departments and building admin for list of collectors and visitors
· Preparation and monitoring of billings/CR, coordinating with concerned parties (e.g. TSAs, clients, Accounting, Finance)
· Monitor processing of SOFs and SOAs, ensuring that billing is issued by Finance after three (3) business days
· Monitor notarization and shipment of contracts as needed
· Collate PRFs and reimbursements for approval, and transmit to accounting for processing
· Maintain utmost security and confidentiality of company information
