Quality and Compliance Officer

We are looking for a Quality and Compliance Officer.

What are the role and responsibilities?

QUALITY MANAGEMENT SYSTEM / TIMS / MIS COMPLIANCE MANAGEMENT

• Over-all Internal Quality Auditor (ISO/TIMS). Maintains and monitors the Audit proceeding files and reports.
• Conducts Internal Quality Audit, Records, and Safety audits of all offices.  Prepares and submits reports to management.
• Assist in the implementation of company Emergency Response and Business Continuity Plan, and Risk Management.
• Monitors Risk Management Register and Business Continuity Plan initiatives. Evaluates its effectiveness.  Maintain hard and soft copies of RMR and BCP.
• Ensures that processes needed for the effective implementation of the QMS are established according to its elements, is implemented properly and reviewed regularly.

DATA PRIVACY AND PROTECTION COMPLIANCE

• Informing and cultivating awareness on privacy and data protection within the organization of the Company, including all relevant laws, rules and regulations and issuances of the National Privacy Commission;
• Advocating for the development, review and/or revision of policies, guidelines, projects and/or programs of the Company relating to privacy and data protection, by adopting a privacy by design approach;
• Reviewing all data protection procedures and related policies, in line with an agreed schedule;
• Ensuring the conduct of privacy impact assessments relative to activities, measures, projects, programs, or systems of the Company;
• Conducting periodic internal audits and review to ensure that all the Company's data privacy policies are adequately implemented by its employees and authorized agents;
• Ensuring proper data breach and security incident management by the Company, including the latter's preparation and submission to the National Privacy Commission of reports and other documentation concerning security incidents or data breaches within the prescribed period;
• Performing other duties and tasks that may be assigned by the Company that will further the interest of data privacy and security and uphold the rights of the data subjects.

ENVIRONMENTAL, SOCIAL, AND GOVERNANCE (ESG) INITIATIVES AND COMPLIANCE

• Lead initiatives to promote sustainability, corporate social responsibility, and ethical business practices.
• Monitor and report on the company's ESG performance and compliance with relevant standards.
• Collaborate with stakeholders to implement programs that reduce environmental impact and improve social responsibility.
• Ensure ESG objectives are integrated into company strategies and operations.
• Prepare ESG disclosures and reports for management, regulators, and external stakeholders.

OCCUPATIONAL HEALTH AND SAFETY MANAGEMENT

• Ensure compliance with the Occupational Safety and Health Standards (OSHS), labor laws, and company safety policies.
• Monitor and enforce adherence to safety rules and regulations.
• Conduct regular inspections of workplace areas, equipment, and processes.
• Identify potential hazards and recommend corrective or preventive measures.
• Lead the development and updating of risk assessments and job safety analyses.
• Investigate workplace accidents, incidents, and near-misses.
• Prepare and submit reports with recommendations to prevent recurrence.
• Develop and conduct safety orientations, drills, and training sessions for employees.
• Formulate and implement emergency response plans (fire, earthquake, medical emergencies, etc.).
• Submit required safety documents to regulatory bodies (e.g., DOLE).
• Act as liaison between management, employees, and government agencies regarding safety matters.
• Recommend improvements to workplace design, policies, and practices.
• Keep updated with the latest safety standards, laws, and best practices.

This could be for you if you're:

• At least 2 years of relevant experience in quality assurance, compliance or occupational health and safety management, preferably in the logistics, freight forwarding, or supply chain industry.
• Bachelor's Degree in Industrial Engineering, Business Administration, Environmental Science, Occupational Safety and Health, Information Technology, or other related fields.
• Must be a certified BOSH Safety Officer 2 and ISO 9001:2015 Internal Auditor
• Exposure to data privacy compliance, risk management, and business continuity planning.
• Experience coordinating with DOLE, DENR, NPC, and other regulatory bodies.
