Office Admin Assistant

The Office Admin Assistant shall be responsible in the timely preparation of request for payment for all Admin related expenses such as Service Providers i.e., Security Agencies, Manpower Agencies, Janitorial Agencies, etc.; Utility Companies i.e., Meralco, PLDT, Maynilad, etc; Courier Providers i.e., UPS, DHL, 2GO etc; Office/Showroom rentals and the like. The position shall also be responsible to monitor and review that all invoices/billings endorsed for payment are in accordance with signed contracts, agreements and/or rendered services
DUTIES AND RESPONSIBILITIES
- Prepares request for payment of the following Admin-related expenses
for SMDC/SHDC/GPMC and other SMDC affiliate:
a. Communication & Internet Billings (Postpaid, Prepaid, etc.) of
SMDC Head Office, Site Offices and Showrooms
b. Utility Billings (i.e., Meralco, Maynilad) of SMDC Head Office, Site
Offices and Showrooms
c. Courier Billings
d. Office, Showroom and Parking Rentals
e. Manpower Agency Billings i.e., Janitorial, Security, Contractual
Manpower services
f. Leased Printers, Photocopying and other type of expenses
g. Travel Related Billings
h. Other Admin-related expenses that may be assigned
Checks and reviews all invoices/billings for accuracy and coordinates with concerned service provider companies to resolve discrepancies noted, if any
Prepares expense report to monitor all Admin-related expenses and
submits on a monthly basis.
- Performs other duties that may be assigned from time to time.
QUALIFICATIONS
- Education: Graduate of any four-year Business-related course
- Experience: At least one (1) year work experience preferably in a Real Estate Company
- Skills: Technical – MS Office Applications, SAP; Soft skills – Teamwork, Communication
