KEY RESPONSIBILITIES:
ADMIN ASSISTANT
- Assist in directing all scheduling of day-to-day services of company driver.
- Coordinates with our travel agency in arranging flights and hotel reservations for principals, guests and or employees in coordination with HR/Admin.
- Assist in managing all office renovation.
- Assist in maintaining and updating all contracts and contact of list of suppliers.
- Handles all Office fixtures and repairs & maintenance regularly.
- Monitors and controls Supplies Inventory.
- Monitors Company's Certifications/Accreditation.
- Assist in managing and monitoring billing and renewal of all employees issued mobile units.
- Employee Recruitment: Post job openings, screen candidates, schedule interview, issue job offer and job contracts.
- Employee On-boarding: coordinate orientation and training sessions for new employee
- Data Management: Collect and ensure completeness of pre-employment requirements, maintains and update 201 files, proper arrangement and safekeeping of all documents such as clients/customers file, subcontractors file, in-house training certificates and other related documents.
- Assist in maintaining compliance with national regulations concerning employment.
RECEPTIONIST
- Welcomes visitors by greeting them in person or on the telephone.
- Answer telephone, screen and forwarding any incoming phone calls while providing basic information when needed.
- Direct applicants, crew and/or allottees to the proper destination regarding their inquiries.
- Answer basic questions of applicants, crew and/or allottees regarding various services of the company.
- Perform variety of clerical duties.
- Oversee pantry supplies and ensures safe keeping of these materials.
- Oversee timekeeping process from logbook preparation into generation of attendance summary report.
- In-charge in receiving and sorting of documents like billings, letters, crew documents received via courier and hand it over to the concerned personnel.
- In-charge in receiving and sorting crew packages and hand it over to joining crew.
- Assist office fixture repairs and maintenance regularly.
- Performs other task as may be assigned by superiors.
- Able to start on December or January
QUALIFICATIONS:
- Graduate of Bachelor's Degree, from any field.
- Excellent verbal and written communication.
- Excellent communication (oral and written) and interpersonal skills with ability in building relationships across all organizational levels.
- Excellent knowledge of Microsoft Office Applications
- Able to work and meet deadlines.
- Keen attention to details
