They serve individuals and small businesses with a focus on accuracy, compliance, and excellent client communication. The firm values process, technology adoption, and a client-centric culture; this role will support their operations and tax-prep teams.

Why does this role exist?
This position is being hired to reduce operational bottlenecks and to provide a confident, independent point of contact for high-volume, time-sensitive client communications and routine individual tax matters. The US Tax Specialist will triage emails and calls, draft compliant responses to tax notices, support onboarding and calendar management, and improve CRM data hygiene during an active migration — enabling senior tax staff to focus on complex work and client advisory.

The Impact you'll make
Client communications & tax notice triage

  • Monitor and manage client emails and Outlook inboxes; draft responses and escalate complex or compliance-critical items.
  • Review IRS/state letters and draft suggested replies for approval.
  • Provide first-response guidance on routine individual tax inquiries and route complex issues to the correct team member.

Tax software support & research

  • Use Drake (or similar tax software) to look up client situations and provide informed first responses.
  • Verify return details (1040 / 1044 knowledge) to ensure appropriate routing and accurate draft replies.

Calls, lead qualification & scheduling

  • Handle inbound calls via RingCentral web, screen and qualify leads, book calls with the team, and route urgent matters appropriately.
  • Maintain calendar schedules (Outlook/Teams) and ensure accurate handoffs with answering service.

CRM & data hygiene (Keap → GoHighLevel migration)

  • Add leads, update statuses, maintain consistent pipelines, and help resolve missing/inconsistent data during migration.
  • Document processes and maintain shared file organization (OneDrive/Google Drive).

Process documentation & security

  • Maintain and improve standard operating procedures, document workflows, and ensure adherence to data security and client confidentiality practices.

Skills, Knowledge and Expertise
Required:

  • US individual income tax industry experience with working knowledge of tax notices, tax terminology, and demonstrated familiarity with 1040 and 1044.
  • Proficiency using Drake tax software or a comparable tax-prep system.
  • Excellent spoken and written English — seamless, confident communicator with minimal hesitations.
  • Proven experience handling inbound calls (RingCentral or similar), Outlook/Teams calendar management, and cloud file systems (OneDrive/Google Drive).
  • Available to work Mon–Fri, 9:00 AM–5:00 PM ET (40 hours/week) and able to start ASAP.
  • WFH Set-Up:
  • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
  • Internet speed of at least 40MBPS
  • Headset with an extended mic that has noise cancellation and a webcam
  • Back-up computer and internet connection
  • Quiet, dedicated workspace at home

Your Superpowers:
Drake (or equivalent) tax software proficiency.

  • CRM experience (Keap and/or GoHighLevel) and strong data hygiene skills.
  • Comfortable with RingCentral web call handling, Outlook/Teams calendar management, and cloud file systems.
  • Familiar with responsible use of Copilot/ChatGPT for drafting and process automation.
  • You're energized by helping clients navigate taxes and financial challenges with empathy and clarity
  • You thrive in lean, fast-evolving environments and take initiative without needing constant direction
  • You're eager to grow your tax resolution and real estate knowledge and contribute to community-focused initiatives

Compensation:

  • $6 per hour
