Job Description
As a Senior Wealth Administrator, you'll support advisers and clients by ensuring smooth execution of financial planning processes. From document preparation to compliance, reporting, and coordination with stakeholders, your efficiency and precision will help sustain top-tier financial service delivery.

The Qualifications We Seek
- At least 3 years of relevant experience.
IT / Software Skills
- Proficient in Microsoft Excel and Word.
- Knowledge of relevant Financial Planning Software (Mason Stevens, Macquarie, Xplan, and third-party insurance & investment platforms).

Your Daily Tasks
Technical (60% of time)
- Collaborate with Advisers & Associates to prepare agendas, meeting packs, and review documents.
- Prepare Advice Documents for Advisers.
- Assist the Wealth Team with implementation of Advice Documents.
- Maintain accurate client records in Xplan.
- Support compliance procedures, including documentation checks, KYC validation, and audit trails.
- Liaise with investment platform providers, custodians, administrators, and other third parties to gather research and information.
- Coordinate timely delivery of data and documentation for reporting and planning.
- Report to the Wealth Team on foreseeable workflow disruptions (e.g., staff capacity, information requirements, critical job stoppages).
Process Management / Administration (15% of time)
- Complete standard and additional administrative tasks as instructed, on time and accurately.
- Record daily timesheets for assigned tasks.
- Support other team members as needed.
- Keep HLB Wealth Team members updated on job progress via Microsoft Teams or email.
Self-Management (15% of time)
- Manage workload effectively to meet performance goals.
- Clarify job requirements, deadlines, and priorities.
- Provide progress updates and request needed information proactively.
Self-Development (10% of time)
- Attend required training and self-educate using firm resources.
- Participate actively in team meetings.
- Apply new knowledge to enhance performance and efficiency.
