Key Responsibilities:

  • Maintain an organized system for managing all project-related documents, including blueprints, contracts, permits, specifications, and reports.
  • Ensure accurate version control of documents and distribute updated versions to relevant parties.
  • Archive and retrieve documents as needed, ensuring they are easily accessible to team members.
  • Ensure that all documents comply with company standards, industry regulations, and client requirements.
  • Conduct regular audits of project documentation to ensure completeness and accuracy.
  • Monitor and enforce document control procedures to ensure consistency across the project.
  • Coordinate with site engineers, architects, contractors, and other stakeholders to manage document flow.
  • Serve as a point of contact for all document-related inquiries and ensure timely responses.
  • Distribute project documents to the appropriate personnel on-site and off-site as needed.
  • Prepare and update document tracking logs, project schedules, and reports.
  • Maintain records of document receipt and distribution, ensuring traceability and accountability.
  • Ensure that critical documents are delivered to and signed by the relevant parties.
  • Use document management software to upload, track, and distribute documents.
  • Provide training and support to site staff on document control procedures and software tools.
  • Regularly back up documents to prevent loss of critical information.
  • Perform periodic site visits to ensure that physical copies of documents, drawings, and plans are available and up to date.
  • Assist in preparing documentation required for site inspections and audits.

Requirements:

  • Bachelor's degree in Civil, Mechanical, or related Engineering discipline.
  • Experience in document control within the construction or engineering sector.
  • Proficiency in document management software and Microsoft Office Suite (Word, Excel, etc.).
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and meet tight deadlines.
