Key Responsibilities:

  • Sourcing & Supplier Management:
  • Identify potential suppliers and evaluate their capabilities and reliability.
  • Establish and maintain strong, professional relationships with suppliers.
  • Monitor supplier performance and manage any issues that arise to ensure consistency in quality and delivery.
  • Negotiate terms and prices with suppliers to secure cost-effective deals.
  • Procurement Planning:
  • Work closely with internal departments (e.g., finance, operations) to understand their procurement needs.
  • Develop and manage procurement plans to ensure timely and efficient purchasing processes.
  • Track and forecast inventory levels, order quantities, and delivery schedules.
  • Purchase Order Management:
  • Generate and process purchase orders (POs) in line with business requirements.
  • Ensure that orders are placed in a timely manner and according to budget constraints.
  • Track and monitor the status of orders to ensure on-time delivery.
  • Cost Control & Budgeting:
  • Assist in preparing and managing the procurement budget.
  • Monitor spending to ensure adherence to the allocated budget and identify opportunities for cost savings.
  • Review and approve invoices and payment requests from suppliers.
  • Compliance & Documentation:
  • Ensure compliance with organizational policies, legal regulations, and industry standards in procurement activities.
  • Maintain accurate records of purchases, contracts, and suppliers.
  • Prepare regular procurement reports and performance metrics for management.
  • Quality Assurance:
  • Collaborate with quality control teams to ensure that purchased goods meet the required specifications and quality standards.
  • Investigate and resolve any issues related to the quality of procured products.
  • Market Research:
  • Conduct market research to stay informed about the latest trends, technologies, and pricing in relevant industries.
  • Evaluate potential suppliers based on factors such as cost, quality, and delivery reliability.
  • Risk Management:
  • Identify potential risks in the procurement process and take appropriate steps to mitigate them.
  • Ensure supply chain continuity by having backup suppliers or contingency plans in place.
