
Procurement Officer

Key Responsibilities:
- Sourcing & Supplier Management:
- Identify potential suppliers and evaluate their capabilities and reliability.
- Establish and maintain strong, professional relationships with suppliers.
- Monitor supplier performance and manage any issues that arise to ensure consistency in quality and delivery.
- Negotiate terms and prices with suppliers to secure cost-effective deals.
- Procurement Planning:
- Work closely with internal departments (e.g., finance, operations) to understand their procurement needs.
- Develop and manage procurement plans to ensure timely and efficient purchasing processes.
- Track and forecast inventory levels, order quantities, and delivery schedules.
- Purchase Order Management:
- Generate and process purchase orders (POs) in line with business requirements.
- Ensure that orders are placed in a timely manner and according to budget constraints.
- Track and monitor the status of orders to ensure on-time delivery.
- Cost Control & Budgeting:
- Assist in preparing and managing the procurement budget.
- Monitor spending to ensure adherence to the allocated budget and identify opportunities for cost savings.
- Review and approve invoices and payment requests from suppliers.
- Compliance & Documentation:
- Ensure compliance with organizational policies, legal regulations, and industry standards in procurement activities.
- Maintain accurate records of purchases, contracts, and suppliers.
- Prepare regular procurement reports and performance metrics for management.
- Quality Assurance:
- Collaborate with quality control teams to ensure that purchased goods meet the required specifications and quality standards.
- Investigate and resolve any issues related to the quality of procured products.
- Market Research:
- Conduct market research to stay informed about the latest trends, technologies, and pricing in relevant industries.
- Evaluate potential suppliers based on factors such as cost, quality, and delivery reliability.
- Risk Management:
- Identify potential risks in the procurement process and take appropriate steps to mitigate them.
- Ensure supply chain continuity by having backup suppliers or contingency plans in place.
