Inviting applications for the role of Senior Associate, Support Assistant

Responsibilities

Ensure events and client visits are successfully completed within timelines and budget which includes the following:

Attending the pre-planning calls

Collaborating with client partners, managers, employees to assurethe conclusion of a successful event / visit.

Creation of PR and PO /MRN creation for vendor services requested related to the event / visit.

Managing events and addressing potential problems that may arise.

Maintaining a working knowledge of the complex needs of a wide variety of events

Requesting the access of the clients or visitors

Closely track statusof all requests related to the events pre-during- post the event.

Liaison for venue booking, Welcome signages, Client's souvenirs, other visit requirements.

Ensure the provision of materials and services provided by suppliers by:

Meeting with suppliers on-site to assist with set-up.

Running errands / assists in requesting for materials and decorations

Establishing and maintaining relationships and securing a quotation with vendors.

Liquidate expenses through Concur Solutions on all expenses made using issued corporate card pertaining to the visit (meals, transportation, supplies etc.)

Close coordination with Sourcing

Provide assistance with travel for both employees and clients

hotel accommodation

airport transfers

Coordinate with messenger & receptionist for printing & delivery of invoices

Qualifications we seek in you

Minimum Qualifications / Skills

College graduate

Good written and oral communication skills

Good collaboration and coordination skills

Working knowledge of MS Office tools (Word, Excel, PowerPoint)

Passion for learning

Ability to quickly think on his/her feet when issues arise

Preferred Qualifications/ Skills

Logistics or office support experience

Event coordination and implementation experience
