Job Description:

Administrative Support

  • Provide administrative support to the Marketing Director and Secretary, including meeting arrangement of managing calendars, book meeting room.

  • Making travel arrangements for the supervisor they work for and keeping track of their itineraries.

  • Prepare, format, and proofread documents, reports, presentations, and correspondences to ensure accuracy and professionalism.

  • Maintain databases of external stakeholders, contact information, and relevant records, ensuring accuracy and accessibility.

  • Update marketing data and financial information – update spreadsheets, databases with statistical, financial and non-financial information. Keep confidential information.

Communication

  • Being the point of contact for general communications with the supervisor.

  • Acting as a virtual assistant when Marketing Director and Secretary are busy or not in the office.

  • Act as a liaison between inter-department marketing executives and intra-departments.

  • Draft, review and send communications on behalf, answer and respond regarding department administrative tasks, communicate messages and information to the superior.

  • Prioritise emails and respond when necessary, routing them to the right person.

Project Assistance

  • Assist in project management tasks, including coordination, tracking, and reporting.

  • Collaborate with team members to ensure project timelines are met.

  • Assist in managing budget allocations for external affairs activities and ensure spending is within approved limits.

  • Going through the incoming documents and redistributing according to supervisor instructions.
