Front Desk Responsibilities:

  • Visitor Management:Greet and assist visitors, customers, and clients, providing a positive first impression of the company.
  • Communication:Answer phone calls, direct inquiries to appropriate personnel, and handle incoming/outgoing mail and packages.
  • Administrative Support:Maintain an organized and clean front desk area, manage office supplies, schedule meetings, and provide general administrative support to staff.
  • Customer Service:Handle customer complaints and inquiries, ensuring guest or client satisfaction.

Marketing Responsibilities:

  • Promotional Activities:Assist in conducting promotional activities and evaluating their effectiveness.
  • Data Analysis:Analyze data, industry trends, and competitive information for strategic planning and reporting.
  • Business Development:Actively involved in daily marketing, business development, and sales efforts.
  • Report Preparation:Develop reports and exhibits for customer and deal tracking, such as expiring leases or sales performance.

Finance Responsibilities:

  • Financial Operations:Process and code invoices, expense reports, and other financial documents.
  • Financial Record Keeping:Maintain accurate vendor records, perform daily cash reconciliation, and assist with month-end closing activities.
  • Budgeting & Forecasting:Prepare reports and analyze data for budgeting, forecasting, and cash flow analysis.
  • Financial Reporting:Prepare financial reports and documents for management review and ensure compliance with financial regulations.

Key Skills:

  • Multitasking:The ability to handle multiple tasks simultaneously and efficiently is essential.
  • Attention to Detail:Crucial for accurate financial record-keeping and administrative tasks.
  • Communication Skills:Excellent verbal and written communication skills are necessary for interacting with visitors, clients, and team members.
  • Organizational Skills:Strong planning and organizational abilities are needed to manage tasks and maintain an orderly work environment.
  • Computer Proficiency:Proficiency in Microsoft Office Suite, especially Excel, and financial software is usually required.
