We are looking for a proactive and highly organized Customer Support and Service Coordination Assistant to help manage phone operations, coordinate technicians, and handle customer management tasks for our garage door service operations. This role requires excellent communication skills, attention to detail, and the ability to work independently in a virtual environment.

Key Responsibilities

  • Answer incoming customer calls related to garage door repair services.
  • Collect customer information such as contact details, service needs, and appointment preferences.
  • Schedule and coordinate service appointments with customers and field technicians.
  • Manage WhatsApp groups for technician coordination across Washington DC and Maryland service areas.
  • Distribute work orders from advertising partners to the appropriate technicians.
  • Assign jobs to technicians based on location, availability, and skill set.
  • Enter customer data and appointment details into the GoHighLevel CRM system.
  • Track technician schedules and optimize routing for efficiency.
  • Follow up with customers and technicians to ensure timely service delivery.
  • Maintain confidentiality and integrity when handling sensitive customer information.
  • Ensure timely service responses through effective logistics coordination.
  • Send reminders and follow-ups to ensure quality and accountability.
  • Help prioritize and manage critical service calls.

Mandatory Requirements

  • Excellent written and verbal English communication skills – MUST.
  • Proven experience in customer service, phone support, and dispatch coordination.
  • Previous experience as a Customer Service VA or Dispatch Coordinator.
  • Strong organizational skills with attention to detail.
  • Self-motivated, reliable, and able to work independently.
  • Comfortable managing sensitive customer information and field service operations.

Preferred Skills

  • Experience with GoHighLevel CRM and WhatsApp Business.
  • Ability to maintain professional relationships with both customers and technicians.
  • Interest in service operations and a commitment to excellence.
