Job Summary

The Inventory & Logistics Staff is responsible for managing incoming and outgoing stock, ensuring accurate inventory levels, and supporting order fulfillment. This role requires strong attention to detail, familiarity with inventory software or IT systems, and the ability to work closely with the Pharmacist-in-Charge to meet regulatory and operational standards. The role also involves coordination with delivery riders and warehouse personnel to maintain accurate records and timely dispatch.

Key Responsibilities

Inventory Management

  • Receive, inspect, and log all incoming pharmaceutical supplies and materials
  • Conduct daily stock counts and update inventory records in the IT system
  • Track stock expiry dates, batch numbers, and ensure compliance with FDA storage guidelines
  • Support reordering by reporting low or critical stock levels to the Pharmacist-in-Charge

Order Fulfillment and Dispatch

  • Prepare orders for dispatch based on prescriptions, sales, or delivery instructions
  • Pack medications accurately, ensuring cold-chain or fragile items are properly handled
  • Coordinate with Delivery Riders for dispatch scheduling and route assignments
  • Maintain proper records of dispatched items and proof of delivery (POD)

System and Documentation

  • Use the IT inventory management system to update stock movements in real time
  • Maintain inventory sheets, delivery logs, and receiving records for audit and compliance
  • Assist in generating inventory reports for internal tracking and FDA audits

Regulatory Support and Compliance

  • Ensure compliance with Good Storage and Distribution Practices
  • Assist the Pharmacist-in-Charge in preparing inventory-related documents for regulatory submissions
  • Organize and label inventory in accordance with pharmaceutical standards

Qualifications

Education and Experience

  • Bachelor's degree in Industrial Engineering, or a related field is preferred
  • 1–2 years of experience in inventory, warehousing, or logistics; pharma industry

Skills and Attributes

  • Familiar with inventory systems, stock management software, or Excel-based trackers
  • Detail-oriented, organized, and disciplined in record-keeping
  • Physically able to lift and organize stock items and assist with warehouse duties
  • Proactive and dependable, with a strong sense of ownership over assigned tasks

Other Requirements

  • Willing to work onsite and support extended hours during delivery peaks or audits
  • Must be comfortable working under supervision and in a regulated environment

Job Type: Full-time

Pay: Php20, Php45,000.00 per month
