Healthcare Documentation Representative

About the Role
We are looking for a Professional Services Representative who will provide outstanding customer service support to existing clients in the healthcare and diagnostics industry.
This role focuses on assisting patients, healthcare providers, and facilities in completing required documentation and ensuring compliance with program and regulatory requirements.
Key Responsibilities
- Handle inbound and outbound calls to assist customers and healthcare professionals with service inquiries and documentation needs.
- Guide customers through the process of completing medical forms, prescriptions, PCP referrals, and medical record requests to ensure all requirements are properly met.
- Coordinate with clinics, physicians, and healthcare facilities to obtain and verify necessary documents.
- Prepare and maintain reports and records such as patient rosters, encounter summaries, and pipeline updates.
- Use Salesforce CRM and internal databases to capture, track, and maintain accurate customer and patient information.
- Resolve service issues and inquiries promptly, ensuring quality service delivery and customer satisfaction.
- Adhere to HIPAA, data privacy, and company security policies at all times.
- Maintain professionalism, accuracy, and accountability in all interactions.
Qualifications (Non-Negotiable)
- Bachelor's or Associate Degree (required)
- Strong English communication skills – both verbal and written
- Minimum 3 years of Customer Service experience, preferably in a healthcare, insurance, or clinical support environment
- Strong computer literacy – must be confident using multiple systems, databases, and CRM tools (Salesforce experience preferred)
- Excellent organizational skills and ability to manage time effectively
- Detail-oriented and compliant with strict data privacy and documentation standards
- Goal-driven, professional, and reliable with a strong sense of accountability
