Job Description:
As a Legal Admin Associate, you'll provide essential support in document preparation, contract management, and cross-departmental coordination. This role demands attention to detail, strong communication skills, and the ability to manage sensitive information with discretion.

The Qualifications We Seek:
- Bachelor's degree in Legal Management, Business Administration, or related field preferred.
- Paralegal certification is an advantage.
- At least 1-2 years of administrative support experience, ideally in a corporate or professional services environment.
- High adaptability with technology tools and openness to learning and leveraging AI solutions to enhance efficiency and work quality.
- Intuitive ability to spot potential risks, gaps, or issues early on, and the confidence to raise them for discussion.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with contract management tools (e.g., LawVu) is a plus.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A proactive, adaptable, and collaborative mindset.
Your Daily Tasks:
Administrative Support
- Support in preparing, formatting, and distributing documents, reports, and presentations.
- Assist in maintaining organized digital and physical records, ensuring accuracy and accessibility.
- Assist in printing, mailing, tracking mailed letters, and filing correspondence to ensure proper documentation and monitoring.
- Handle expense reports, purchase requests, and other administrative forms as needed.
Contracts & Legal Support (Under Guidance)
- Support in organizing and uploading agreements in the contract management platform (LawVu).
- Help maintain standardized templates and trackers for contracts and legal documentation.
- Provide daytime contracts admin presence and support.
Cross-Departmental Support
- Assist department leaders with ad-hoc tasks, including meeting coordination, file management, and report preparation.
- Act as a point of contact for routine inquiries, escalating issues to the relevant lead when necessary.
Collaboration & Continuous Improvement
- Coordinate with internal teams to ensure smooth communication and task execution.
- Identify opportunities to improve efficiency in administrative workflows.
- Support onboarding and orientation activities for new staff members when required.
Other Responsibilities
- Perform any administrative or non-administrative duties as assigned from time to time through direct written order or verbal assignment.
