Marketing Admin Specialist

This is a remote position.
The Marketing Coordinator provides day-to-day administrative and digital support across marketing operations. This includes coordinating campaign assets, supporting social and email communications, and responding to internal and franchisee marketing enquiries within set SLAs. You'll play a critical role in ensuring timely, brand-consistent delivery of materials across our national hotel network.
Key Responsibilities:
- Marketing Enquiry & Inbox Management
• Manage inbound marketing enquiries from franchisees and internal teams via Salesforce (or relevant CRM)
• Respond to all tickets within agreed SLA timeframes (typically 24–48 hours)
• Escalate requests as needed and maintain a detailed enquiry resolution log
• Provide a helpful and brand-aligned customer experience in all responses
- Digital Asset & Toolkit Management
• Maintain and organise marketing toolkits, templates, and promotional materials for franchisee use
• Support access to brand guidelines, campaign collateral, and ensure correct usage
• Manage a central library of approved assets, naming conventions, and archiving
- Microsite & Web Content Support
• Assist in setting up and maintaining new Quest property microsites
• Source and input property images, descriptions, ABNs, and brand-approved copy
• Conduct basic QA to ensure accuracy across all microsite content
- EDM & Content Distribution
• Build and schedule EDMs using Campaign Monitor & Mailchimp
• Format and distribute campaign content to internal and external audiences (B2B & B2C)
• Ensure adherence to brand tone, message, and formatting guidelines
- Social Media & LinkedIn Support
• Schedule and post content to LinkedIn (Ascott and Quest) using scheduling tools
• Monitor engagement and assist with reporting and insights
• Collaborate with internal stakeholders for approvals and alignment
- Video Editing & Creative Support
• Edit and publish short-form videos using Canva or Adobe Premiere Pro
• Adapt existing content into new formats (e.g., reels, banners, simple animations)
• Support creative needs for internal comms, property features, and brand activations
• POP marketing support
- Reporting & Research
• Compile and distribute reports on EDM and social media performance
• Conduct competitor scans, POP research, and compile insights
• Provide basic formatting and presentation support for monthly team reports
- Event & Internal Comms Admin
• Draft and send internal comms, event invites, and surveys via Microsoft Forms
• Manage RSVP tracking and event email reminders
• Support logistics and collateral preparation for franchisee and brand events
• Provide general administrative support prior the conferences
• Assist with conference registrations
• Manage and update delegate lists and event documentation
• Monitor and respond to attendee inquiries via email or app
• Perform ad-hoc administrative duties to ensure smooth event operations
- Task Tracking & Workflow Management
• Use tools like Asana or Trello to manage and update assigned tasks
• Participate in weekly team check-ins to update progress and flag issues
• Follow documented SOPs and help maintain up-to-date process guides
Additional Tasks (as required)
• Support digital ad coordination (briefs, UTM codes, approvals)
• Assist with internal newsletters or franchisee marketing updates
• Conduct regular audits of property microsites for content accuracy
• Maintain the central campaign calendar and notify stakeholders of key dates
Technical/Educational Qualifications:
• Minimum 2 years' experience in a marketing or admin coordination role
• Strong written and verbal English communication
• Excellent organisational skills and ability to meet deadlines
• Comfortable with Salesforce, Campaign Monitor, Canva, Microsoft Office, SharePoint
• Basic video editing with Canva or Adobe Premiere Pro
• Ability to work independently in a remote environment
• Service-oriented mindset, ideally with exposure to franchise or hospitality environments
