Key Responsibilities

  • Disbursement & Accounts Payable

  • Prepare and process payment vouchers and disbursements.

  • Validate company payments and monitor payment releases.
  • Reconcile accounts payable and prepare related schedules (prepayments, accruals, etc.).
  • Maintain records and filing systems for accounting documents.
  • Handle petty cash fund (custodian duties).
  • Prepare and process withholding tax returns.
  • Coordinate with vendors to resolve payment issues.
  • Manage and supervise the Cash Disbursement Team.
  • A minimum of 2+ years of supervisory experience is required for effective team management.

  • General Accounting

  • Perform GL reconciliations and post entries in A/R, A/P, and G/L modules (Sage system).

  • Prepare accruals, adjusting entries, and lapsing schedules (prepayments amortization).
  • Maintain schedules for payables, advances, accruals, and other liabilities.
  • Check bank reconciliation statements and other GL entries.
  • Assist in preparing monthly financial reports and summaries.

  • Billing, Credit & Collection

  • Manage principal accounts using accounting software.

  • Verify and analyze principal account transactions.
  • Prepare income analysis, journal entries, and reconcile principal-related accounts.
  • Ensure timely collection of invoices and receipts from vendors/service providers.
  • Analyze vessel call profitability and ensure correct accounting of payments and accruals.
  • Shipping or maritime industry experience is preferred but not required for this position.

  • Banking & Treasury

  • Act as focal contact for bank matters (fund transfers, account openings, certificates, guarantees, KYC, etc.).

  • Prepare weekly Cash Position Reports (CPR) and cash plans.
  • Maintain schedules of short-term investments and month-end bank balances summaries.

  • Compliance & Coordination

  • Ensure compliance with HSEQ and corporate policies.

  • Coordinate with internal departments for proper accounting of payments and accruals.
  • Take responsibility for health and safety in the workplace.

  • Other Duties

  • Handle reports for affiliated companies (e.g., Spica Services Phils. Inc., Marine Connection Phils. Inc.).

  • Perform other tasks as assigned by the Accounting Manager or Department Head.

JOB QUALIFICATION

  • Bachelor's Degree (BS/BA) in Accountancy or equivalent in accounting
  • At least 1- 2 years relevant experience in General Accounting
  • With strong Accounting Background.
  • Highly analytical with strong problem-solving skills and keen attention to details.
  • Average to above average oral and written communication skills
  • Advanced Excel skills including pivot tables are required for data analysis tasks.
  • Proficiency in Excel formulas and pivot tables is required for comprehensive data analysis.
  • Certified Public Accountant (CPA) license or working towards one is often a strong advantage
