The Senior Lease Management Analyst focuses on managing supplier onboarding and vendor compliance within a commercial real estate portfolio. This role serves as the primary liaison for property owners and managers, ensuring accurate landlord payment account setup and maintenance in systems such as Oracle and Lucernex. Responsibilities include validating onboarding documentation, administering IRS 1099 compliance, and supporting lease administration processes, including payment verification and lease document review. The role also involves responding to inquiries, collaborating with internal teams, and driving process improvements for data retention and reporting. Strong vendor relationship management, attention to detail, and proficiency in financial systems and reporting tools are essential.
Key Responsibilities:
- Supplier Onboarding & Vendor Management:
- Serve as the first point of contact for notifications of new property ownership and requests to change landlord payment accounts (bank changes, address changes, property manager changes).
- Collect, examine, and validate onboarding documentation for property owners, ensuring completeness and compliance.
- Maintain and update supplier records in the accounting system (Oracle) and Lease Management system (Lucernex).
- Follow up consistently with landlords for crucial vendor documentation and resolve issues related to vendor accounts and lease documents.
- Statutory Reporting & Compliance:
- Administer and ensure compliance with IRS 1099 reporting requirements, including monetary thresholds, entity type requirements, "B" Notices, and IRS verification letters.
- Develop and maintain process flows and desktop procedures for onboarding and payment processes.
- Support for Lease Administration Manager:
- Assist the Manager in administering landlord payments, including initiating, verifying, and tracking payment transactions in Oracle and Lucernex.
- Create and process correcting rent payable transactions between landlords, ensuring accuracy and compliance.
- Review lease documents for vendor-related details, flag discrepancies, and coordinate with the Lease Admin team for resolution.
- Monitor and respond to inquiries in the shared Lease Admin email box, ensuring timely and professional communication with landlords, property managers, and internal stakeholders.
- Assist with a wide variety of special projects related to contracts, document management & prior year recoveries.
- Collaboration & Communication:
- Build strong relationships with landlords and property managers across the commercial lease portfolio.
- Collaborate closely with Lease Administration, Real Estate, and Legal teams to gather vendor details and provide exceptional support.
- Respond to ad hoc reporting requests and analysis using Jira or other reporting tools.
- Process Improvement & Data Retention:
- Assist with process and data retention projects, continually striving for system and process improvements.
- Maintain supplier database and record retention in accordance with company policy.
Qualifications & Experience:
- Required, 3+ years of experience in commercial real estate administration, with a focus on landlord payment accounts.
- Sound understanding of US W9 forms along with knowledge of 1099 processing and compliance.
- Experience using a commercial lease management system. Lucernex preferred.
- 2+ years of experience in Accounts Payable.
- Advanced proficiency in Microsoft Excel; proficiency in Adobe Acrobat Pro and Outlook.
- Ability to apply exceptional judgment to complex business situations.
- Experience using enterprise-class financial systems required. Oracle preferred.
